Our client, a governmental agency, is seeking a detail-oriented Temporary Administrative Assistant with exceptional organizational skills, strong computer proficiency, and outstanding customer service experience. The ideal candidate will have experience supporting executives, managing multiple priorities, and providing professional administrative support in a fast-paced office environment.
DUTIES AND RESPONSIBILITIES
Perform a full range of administrative and clerical duties to support daily office operations.
Answer and direct incoming telephone calls professionally and courteously.
Scan, copy, file, and maintain both physical and electronic documents and records.
Create, update, and maintain Excel spreadsheets and other Microsoft Office documents.
Process packages, incoming and outgoing mail, and invoice payments.
Open and maintain physical and electronic case/files.
Provide administrative support to executives, including assistance with special projects as assigned.
Coordinate and track meetings, calendars, appointments, and team events.
Arrange travel accommodations, meetings, conferences, and related logistics.
Screen telephone calls, visitors, and correspondence, responding appropriately to inquiries.
Research regulations, departmental policies, and procedures to provide accurate information and assistance
Assist the public and internal staff by interpreting and applying policies, procedures, codes, rules, and regulations while exercising sound judgment and discretion.
Perform other general office and administrative duties as assigned.
MINIMUM QUALIFICATIONS
Five (5) years of progressively responsible administrative and/or secretarial experience.
Strong customer service and interpersonal communication skills.
Excellent organizational skills with the ability to prioritize multiple tasks and meet deadlines.
Demonstrated ability to maintain confidentiality and exercise independent judgment.
Proficiency in Microsoft Office Suite, including Access, Excel, Outlook, and Word.
PREFERRED QUALIFICATIONS
Recent administrative or secretarial experience (within the past three years) supporting a Department Head, Executive, or senior-level manager.
Previous experience working in a public sector environment, including State, County, City, School District, Law Enforcement, or other governmental agencies.
