SUMMARY

Under the general supervision of the Administrative Technician performs a wide variety of office management tasks in support of the operation of the Park Maintenance Department. Operates a variety of office machines involving the use of typing and computer skills. Learns and interprets City department rules, regulations, and procedures. Involves substantial public contact especially over the phone.

ESSENTIAL RESPONSIBILITIES

  • Operates a variety of office machines, including personal computers and computerized department operations.
  • Types letters, records, reports, etc. and is the support secretary for the Administrative Technician, Park Superintendent and related supervisors.
  • Answers telephone, takes orders, receives complaints, provides information, and monitors all two-way radio conversations.
  • Retrieves and compiles data and reports.
  • Processes record books including time and payroll records, purchasing records, keeps all accounts in order, processes billings, DEO's, and ERO's.
  • Maintains files on all department functions and accounts.
  • Serves as receptionist.
  • Assists in office or unit procedures and operation.
  • Types all departmental monthly reports.
  • Types requisitions and calls vendors for prices.
  • Receives shipments on occasion.
  • Inventories and accounts for all uniform orders.
  • Calls and sets up appointments for employment interviews.
  • Processes all employee information including hiring dockets, termination dockets, employee performance information, etc. for 83 full time and 50 part time employees.
  • Provides supervisors with daily service and preventative maintenance schedules on all department vehicles.

MINIMUM REQUIREMENTS

Any combination of training and experience equivalent to graduation from a standard high school plus one year of clerical experience.

KNOWLEDGE, SKILLS, AND ABILITIES.

  • Good working knowledge of office methods and equipment.
  • Ability to type from clear copy at the rate of 30 words per minute preferred.
  • Ability to carry out math calculations; ability to operate a calculator with speed, accuracy, and neatness.
  • Ability to follow instructions and to maintain cooperative working relationships with all fellow employees.

WORK ENVIRONMENT

Requires considerable amount of sitting, with some walking required. Very limited outdoor work is needed on an infrequent basis. Some lifting and carrying of boxes up to 30 pounds may be required.
