Job Summary
In this role, you will support the Executive Administrator by managing day-to-day responsibilities that enable efficient executive operations. You will be instrumental in coordinating leadership priorities, site initiatives, and employee engagement activities.
Responsibilities
- Provide direct administrative support to the Executive Administrator
- Assist with calendar coordination, meeting scheduling, travel logistics, visas, and expense reporting
- Coordinate conference rooms, catering, visitor support, and meeting preparations
- Support employee engagement activities, site events, leadership meetings, and special projects
- Track action items, deadlines, and follow-up activities to ensure timely completion
- Maintain organized records, documents, and administrative processes
- Partner across departments to support smooth execution of business and site priorities
- Handle sensitive and confidential information with professionalism and discretion
- Maintain and manage floor plans on employee assignments to cubicles
- Utilize a workflow to request purchase orders
- Place work orders for maintenance concerns
- Maintain and coordinate communications projected on all monitors
Requirements
- High school diploma or equivalent; some college preferred
- Previous administrative support experience preferred
- Strong organizational and multitasking abilities
- Proficiency with Microsoft Office Suite including Outlook, Excel, PowerPoint, Teams, and Word
- Excellent communication and interpersonal skills
- Ability to prioritize work in a fast-paced environment
- Strong attention to detail and follow-through
