The Opportunity
In this role, you will support the Vice President, Infectious Disease by managing a broad range of executive administrative and operational priorities. Serving as a trusted partner and primary contact for calendar and scheduling activities, you will ensure the effective coordination of meetings, travel, and key business commitments.
Based in Lake Forest, IL you will frequently interface with senior leaders and handle highly confidential and business-sensitive information with professionalism, sound judgment, and discretion. Success in this role requires strong organizational and communication skills, advanced administrative expertise, and a solid understanding of business processes. The ideal candidate is proactive, adaptable, and able to manage competing priorities while delivering seamless support in a fast-paced executive environment.
What You’ll Work On
Implement and maintain the effectiveness of the Quality System.
Provide comprehensive administrative support, including phone coverage, calendar management, travel coordination, correspondence, courier scheduling, expense reporting, and meeting/event planning.
Create, edit, and prepare business documents, presentations, and other departmental materials.
Manage teleconference and mobile phone setup and serve as a liaison for remote access support.
Assist with budget expenditure tracking and reporting, as needed.
Coordinate and maintain departmental records and files in compliance with corporate and regulatory requirements.
Follow purchasing, requisition, security, privacy, branding, and copy center procedures; order business cards and stationery.
Utilize intermediate to advanced proficiency in Microsoft Office Suite, SAP, and other business systems, including travel and performance management platforms.
Coordinate new employee onboarding, including office setup and work tools provisioning.
Train and provide guidance to new administrative assistants, as assigned.
Required Qualifications
Education: High School diploma or equivalent.
Experience: 3+ years previous administrative experience supporting executive level positions.
Operates with general instruction and some supervision.
Highly organized & proactive.
Intermediate to advanced knowledge of Microsoft Office Suite, Adobe Acrobat, Outlook, Travel booking sites (CTE knowledge preferred).
Preferred Qualification
College degree is preferred.
The base pay for this position is
$25.00 – $50.00/hourIn specific locations, the pay range may vary from the range posted.
