Title Administrative Assistant I - Office of Teaching and Learning Department Summary

The Office of Teaching and Learning (OTL) is dedicated to transforming how we teach, so our students improve how they learn. The OTL cultivates the educational development of all Bridgewater State University faculty through programs, workshops, consultations, and the provision of resources.

Position Summary

The Administrative Assistant provides essential administrative, operational, and programmatic support for the Office of Teaching and Learning (OTL) at Bridgewater State University (BSU). Reporting directly to the Director of the OTL, this position plays a key role in supporting faculty development programs, maintaining internal operations, coordinating communications, and ensuring the successful delivery of workshops, events, and initiatives.

The ideal candidate will be detail-oriented, highly organized, and committed to the mission of supporting excellence in teaching and learning at a diverse public institution.

Monday - Friday: 8:00 am - 4:00 pm, with exibility within regular business hours.

(Saturday and Sunday as days off) * (Subject to Change)-Occasional evening or early morning hours to support special events.

This position is located on campus in Bridgewater, MA. This position is eligible for hybrid/remote work following BSU remote work policy.

  • Initial assignment only. Subject to change according to institutional needs.

This is an AFSCME unit position and is subject to the terms of that union agreement.

Essential Duties

Administrative Support

  • Responsible for all administrative functions related to the work of the Office of Teaching and Learning.
  • Provide administrative support to the OTL director and OTL Faculty Fellows.
  • Serve as the primary administrative contact for the Office of Teaching and Learning.
  • Manage the Director's and OTL events calendars and schedule meetings, workshops, and events.
  • Coordinate internal communications and correspondence for the OTL.
  • Maintain accurate records of programming, participation, and assessment data.
  • Assist with preparing reports, promotional materials, and grant documentation.
  • Provide administrative support for Advisory Board Committees.
  • Administer and update the OTL website in Sharepoint.

Event & Program Coordination

  • Support logistics for OTL events, workshops, institutes, and learning communities, including registration, catering, room reservations, and materials preparation.
  • Work closely with the Director and Faculty Fellows to ensure smooth execution of all programs.
  • Provide onsite event support (e.g., sign-in, materials distribution, AV setup).
  • Maintain the OTL website and event calendar with current and accurate information.

Financial and Office Management

  • Track program budgets, monitor expenses, and process invoices, reimbursements, and purchases in collaboration with the Office of the Provost.
  • Order supplies and maintain inventory for the OTL.
  • Produce regular fiscal reports as requested by the director, the Academic Affairs Budget Manager, fiscal affairs staff, and others.
  • Serve as a liaison to administrative offices, including IT, Facilities, and Procurement.

Faculty and Campus Engagement

  • Provide professional and courteous support to faculty seeking information or assistance from the OTL.
  • Promote OTL programming through email campaigns, newsletters, social media, and campus announcements.
  • Assist with onboarding communications for new and part-time faculty.

Required Qualifications

  • Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below:
  • An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
  • Commitment to customer service excellence/support to enhance an environment of equity, diversity and inclusion.
  • Proven ability to use software for record-keeping, document preparation, and reporting with strong mastery of Excel.
  • Evidence of ability to maintain appropriate timelines.
  • Ability to follow written and oral instructions; good written/oral communication skills.
  • Knowledge of general office procedures.
  • Ability to exercise sound judgment.
  • Ability to work independently.
  • Ability to gather information through questioning individuals and by examining records and documents.
  • Ability to assemble items of information in accordance with established procedures.
  • Ability to determine proper format and procedure for assembling items of information.
  • Ability to exercise discretion in handling confidential information.
  • Ability to establish and maintain harmonious working relationships with others.
  • Ability to deal tactfully with others; ability to work effectively in a team environment as well as independently.
