Job Description

Primary Duties


Process Applications and Student support

  • Obtains and processes complete verified graduate admission applications and documents in a timely manner. Efficiently requests, collects, files, codes and processes potential student applications and documents, including college transcripts, transfer requests, residency forms, test scores, international requirements and other university admission requirements.
  • Provides consistent and exemplary customer service to admissions constituents (i.e. prospective students, faculty, staff and other stakeholders). Provides accurate and timely assistance via email, phone, and in-person communication to help guide students through the application and enrollment processes.
  • Reviews student residency information and determine tuition classification based on current state laws and university policies.
  • Enters admission decisions and processes changes to student application files in student information systems
  • Responds to inquiries from graduate applicants to obtain required admission documentation, verifies status, and explains university policies and procedures. Connect inquiries with program directors, admissions, advising, and other university services as needed.
  • Manage all inquiries sent to the general admissions email account and main phone line for the office of admissions for both graduate and online students.

Online Support

  • Collaborates with designated graduate program team members, Extended Studies, CSU Pueblo Online, and the Graduate program directors to determine student eligibility for specific graduate program admission.
  • Work with Extended Studies, CSU Pueblo Online, and the Graduate program directors to facilitate admission processes accurately and efficiently.
  • Supports CSU Pueblo Online by processing applications and documentation for online learners, helping expand access to high-quality, flexible graduate programs for students across diverse locations and backgrounds.
  • Facilitates communication with Extended Studies, CSU Pueblo Online, Graduate program directors, and other graduate program team members and works as the point of contact for timely response to student questions about specific graduate programs in terms of admission and program requirements

Office Support

  • Provide back-up coverage for the admissions front desk and general email account - Develops or works alongside admissions team members to develop work flows and technological checks/balances related to graduate processing and online programs, to ensure data integrity, processing efficiency, and communication accuracy.
  • Assist with training, supervision and delegation for approved admission activities for admission department student employees
  • Attend admissions and graduate studies related training and meetings- Assist with special events for recruitment and enrollment- Contribute to university and graduate program admission process improvement, accreditation and regulatory agency activities and meetings, to include NC-SARA compliance.
  • Provide back-up assistance for other admissions department and graduate department initiatives related to graduate and Extended Studies enrollment


Supplementary Ad-hoc Duties

  • Other duties as assigned.
  • Provide back-up coverage for Admissions and Extended Studies initiatives as-needed.
  • Serve on various university committees and programs.

 

Minimum Qualifications


The minimum qualifications for this position are established by the State of Colorado. Per the State criteria, candidates are able to use a year for year exchange in related education for experience. The full class description is here.


Experience Only:

Two (2) years of relevant experience in an occupation related to the work assigned to this position

OR

Education and Experience:

A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years

 

Preferred Qualifications

  • Familiarity with graduate and international student college admissions requirements
  • Experience working in a CRM

Salary

$40,248 to $49,000

Due to budget constraints, we have a constricted wage range for this position.  We are only able to accept applications from persons with ten years of service or less in the Administrative Assistant II series. Individuals with related experience outside of the series are also encouraged to apply.
