Coordinate office procedures, provide clerical support, and organize assigned projects that include data collection, analysis of student health forms, written and oral communication with students, faculty, and clinical agencies. This position also provides administrative support for the dual enrollment coordinator.

ESSENTIAL JOB FUNCTIONS

Serve as receptionist for the Health Sciences Dean and faculty in the Lamm Building on the Rocky Mount campus.

Operate and maintain office equipment correctly and safely.

Receive college visitors and ensure security of campus by issuing visitor badges according to procedure.

Correspond with students, faculty, and outside agencies as requested by the Dean of Health Sciences.

Copy instructional materials when requested.

Submit monthly leave requests and records in a timely manner.

Maintain files in a secure manner.

Contact vendors to obtain supply and equipment quotes and process orders through e-procurement system and paper requisitions.

Ensure adequate inventory in Shared Common Storage (AA 221), as well as office supplies cabinet located in AA 193.

Coordinate efforts for sharps pickup. Collect sharps containers, package and secure containers.

Meter outgoing mail and serve as backup for mailroom tasks when needed.

Prepare reports for dean and department chair using collected data.

Assist with the development and publication of marketing materials for the dean and department chairs.

Record and distribute minutes of department meetings as assigned by the dean.

Schedule meetings and reserve facilities through the college's room request procedure for health sciences and community agencies.

Coordinate maintenance and housekeeping efforts for special student events.

Receive and process student health records; compile data on spreadsheets for clinical agency use; communicate with students regarding missing or outdated information using sensitivity regarding private information.

Supervise work-study students.

Data entry for High School and Early College applications in Colleague.

Copy all materials needed for the Career Counselors at each high school and assist career counselors with data collection reporting.

Assist in managing records for CCP students using Team IA.

Maintain high school records (digital and physical).

Order supplies for high school coaches and liaison.

Perform other related duties as assigned.

MINIMUM REQUIREMENTS

Associate degree in relevant field plus administrative assistant work experience with a demonstrated proficiency in Microsoft Word, Excel, PowerPoint, and email.

PREFERRED

Associate degree in Office Systems Technology plus all minimum qualifications; Career Readiness Credential.
