  • Ability to handle confidential and sensitive information with professionalism, discretion, and sound judgment.
  • Experience with filing systems, records management, archiving, and accurate data entry.
  • Proficient in Microsoft Office 365 (Word, Excel, Outlook, Teams, SharePoint), Adobe Acrobat, and general office technology)
  • Experience with a travel coordination program and/or software

Preferred Qualifications

  • Previous experience in higher education

The Meadows Center for Water and the Environment (The Meadows Center) is an official university-level research center at Texas State University. The Meadows Center is seeking a highly organized and detail-oriented Administrative Assistant II to support the daily operations of our front office. This essential role includes managing front desk operations, coordinating facility needs, and providing comprehensive support to both staff and visitors. The ideal candidate will thrive in a fast-paced, customer-focused environment and play a key role in maintaining a professional and welcoming atmosphere. This position also involves directly supervising, training, and scheduling student workers.

Job Duties

  • Manage daily office operations including opening/closing procedures, building access, facility needs, guest parking, mail, shipments, supplies, and records.
  • Serve as the primary point of contact for visitors, students, staff, faculty, and external partners.
  • Provide administrative support through scheduling, document.
  • preparation, proofreading, data entry, filing, and archiving.
  • Oversee conference room logistics, special projects, and office events.
  • Coordinate travel arrangements and finalize expense reimbursements.
  • Recruit, train, schedule, and supervise student workers.
  • Perform other duties as assigned.

  • This position is based in San Marcos, TX. Remote work is not available, and interviews will be conducted in person.
  • Occasional evening and weekend work may be required for special events.
