  • Establish and maintain student performance databases for each pre-clerkship teaching module, summarizing data across modules and preparing appropriate module performance reports.
  • Analyzing data for trends and identifying students having academic difficulty; Advising management/POCs and making recommendations as requested.
  • Develops and executes planning for Annual White Coat Ceremony.
  • Coordinates the First Year Student Interview Program by establishing interview schedules for all new medical students, assures all students are compliant with requirements and reviews interview summaries and records them in their files.
  • Establishes, reviews and updates OSA recurring student rosters and reports. (includes student directory, new student biographies and photo rosters)
  • Maintains Student Affairs Office website to include publication of new student orientation data, class officer election statements, and other related student guides and information.
  • Assists with administration of transition, orientation and support programs for prospective students and first- and second-year medical students, to include the Host, Sponsor, Orientation and Award Programs.
  • Acts as contact point for medical students and their families as they transition to the University. Assists new and continuing students in matters related to student government, interest group participation and related student activities.
  • Establishes, coordinates and maintains office records of assigned program areas in accordance with established regulations, USUHS instructions, and office procedures. Consolidates and purges unnecessary or obsolete information and secures records in accordance with established office procedures.
  • Manages the scheduling and organization of various periodic meetings that discuss the potential or current problems facing students, faculty or the conditions of the teaching facility or materials.
  • Utilize current office software and programs to produce a variety of products to include student biographies, student directories and visitor and student absence rosters. Apply knowledge of varied and advanced functions of word processing software to prepare and edit documents in numerous specialized formats and editorial requirements necessary for publication.
  • May perform other duties and responsibilities as assigned or directed by the supervisor.

Join the HJF Team! HJF is seeking an Administrative Assistant II to be responsible for providing quality control and daily processing of all student records. Implements process improvements and conducts daily processing of student related activities to ensure compliance with Institution, DoD, Federal, and State regulations. Assist in the OKR analysis and implementation of quality improvement. Conducts quality control on various student records tasks starting with the admission application process to graduation for all USU programs.

This position will be in support of the School of Medicine (SOM) - Office of Student Affairs (OSA).
