EDUCATION AND EXPERIENCE:
High School Diploma or Equivalent
Four years related experience and/or training; or equivalent combination of education and experience
High School Diplomas and college/university degrees must be obtained from an accredited program or university approved by the United States Department of Education and the Texas Education Agency.
PRIMARY PURPOSE SUMMARY:
Supports the Director for Agriscience Magnet Program along with the staff and students of the program.
ESSENTIAL REQUIREMENTS AND RESPONSIBILITIES:
Prepare written correspondence, forms, schedules, or reports using computer.
Prepare instructional materials, meeting agendas, honor rolls, graduation lists, student files, and program communication as requested.
Maintain student membership information in the Texas FFA Roster system.
Maintain student information in the Texas Quality Counts system.
Follow district security protocols to allow visitor entry into buildings and perform background checks.
Coordinate substitutes for staff and provide attendance sheets.
Schedule meetings and appointments and maintain calendar for the director.
Receive incoming calls, take reliable messages and route to appropriate staff.
Maintain program calendar of events.
Schedule facility rentals and usage.
Submit requests for HVAC, custodial, police, and transportation services.
Use various livestock show entry systems to submit student entries for livestock shows.
Maintain physical and electronic files including mailing lists, student records, visitor logs, and office communication.
Update handbooks, policy manuals, and other documents as assigned.
Assist with coordination of staff meetings and program activities.
Maintain inventory of fixed assets, equipment, and supplies.
Sort, distribute, or deliver mail and other documents.
Account for and deposits all monies coming into the program (fees, fund raisers, items sold to students, etc.)
Manage all aspects of the Student Activity accounts for the program.
Maintain complete and systematic records of program financial transactions.
Instruct teachers and staff about district policies regarding expenditures and income.
Process Request for Payments (RFP) as requested.
Coordinate/manage travel itineraries for staff and students, including but not limited to car rental arrangements, hotel accommodations, air transportation, student school business excuse lists, permission forms, nurse/clinic protocols, etc.
Process travel reimbursements for program personnel.
Maintain and process district P-Card for the program.
Responsible for all program purchases and receiving of supplies and materials to including purchase order requisitions, monitoring outstanding orders and resolving discrepancies.
Enter work orders for computer services, copier repairs, telecommunications, and maintenance requests.
Maintain/monitor program managed budget, to include preparation of budget transfers.
Maintain/archive files and records of all financial transactions to include scanning and storing in DocuWare.
Work closely with central office procurement and accounting departments.
Assists students and teachers as needed.
Projects a positive image to staff, students and community.
Maintains confidentiality of information.
Reports to work on time every day.
Performs additional duties and accepts responsibilities as may be assigned.
