Job Summary

Provide excellent administrative support to various school offices and the Academic and Campus Operations office following college practices and procedures. Remain flexible during constant change and maintain the fast pace of the campus point-of-contact office, creating an efficient, professional, and welcoming environment for internal and external guests.
Essential Duties

Act as a campus point of contact in the Associate Vice President of Academic and Campus Operation's behalf including greeting and directing visitors, students, faculty, adjuncts, and staff in person, over the phone, or electronically. Answer questions and problem solve. Process campus room reservations and confirmations. Manage classroom key check-out for adjuncts each semester.

Provide administrative support and manage day-to-day office operations for various Academic schools by assisting with communication, flyers, and emails; transcribing and distributing designated schools' department and committee meeting minutes; providing statistics/reports; managing school/program marketing material; assisting with programs and initiatives; monitoring school email and phone line daily; submitting purchase requisitions as requested, and other administrative tasks as needed.

Support various schools' scheduling Faculty Department Chairs/Program Coordinators by providing schedule edits in Banner and special projects as requested.

Support various schools with processing and submitting faculty and staff travel requests, conference arrangements, and mileage reimbursements utilizing Concur.

Manage information updates for various schools: website, Outlook address book, internal directory, and Banner classroom school designation list.

Assess condition of each classroom prior to the semester's start. Coordinate needed repairs with IT and Facilities. Replenish classroom supplies.

Support the Associate Vice President of Academic and Campus Operations in building campus community by assisting with campus celebrations and Academic events.

Process sub payments for various schools and post class cancellation and room change notices for designated campus.

Support FT faculty and FDCs with textbook adoptions and First Day Access, tracking adoptions and managing instructor desk copies and ancillary material for adjuncts. Troubleshoot and problem solve textbook issues.

Assist with hiring process in NEOED, scheduling interviews for full-time faculty search committees, onboarding, and managing faculty office location and prep.
Minimum Qualifications

High school diploma or GED. Requirement may be substituted with relevant and equivalent work experience.

Three years office administration or administrative assistant experience.

Ability to organize daily work procedures and perform duties under one's own initiative with supervisory guidance.

Excellent verbal and written communication skills; ability to interact effectively with others.
Preferred Qualifications

Ability to lift at least 20 pounds.
