Work schedule : Full-Time | C-Suite Support Hours, Monday through Friday.
The Administrative Assistant IV operates as a highly organized, proactive Executive Assistant providing dedicated administrative and operational support to a senior C-suite executive. Operating within a fast-paced global corporate environment, this role is responsible for executing complex calendar management, managing cross-regional communications, coordinating intricate travel itineraries, and maintaining absolute confidentiality. The ideal candidate serves as a central point of contact, ensuring seamless day-to-day operations and flawless execution of leadership directives.
Key Responsibilities
Calendar & Schedule Optimization : Proactively manage, organize, and optimize the senior executive's complex calendar, coordinating shifting appointments and critical meetings across multiple global time zones.
Meeting & Event Coordination : Plan, schedule, and organize high-level internal and external meetings, including global leadership summits, corporate stakeholder briefings, and executive site visits. Prepare comprehensive meeting agendas, visual presentations, and corresponding administrative briefs.
Global Travel Management : Coordinate and oversee detailed international and domestic travel logistics, including flight bookings, hotel accommodations, visa processing, ground transportation, and complete step-by-step itineraries.
Stakeholder Correspondence : Manage incoming and outgoing communication and official corporate correspondence on behalf of the senior executive. Interface professionally with internal and external stakeholders to track action items and ensure timely task follow-ups.
Financial Administration : Assist with the timely compilation and submission of monthly executive expense reports, cross-department invoice processing, and other core administrative accounting tasks.
Information Security : Handle highly sensitive corporate business, financial information, and human resources data while maintaining absolute operational confidentiality.
Must Have Skills / Requirements
C-Suite Support Foundations : Proven professional track record of providing direct, dedicated administrative support to senior executives or C-suite corporate leaders.
Advanced Calendar & Scheduling Mastery : Demonstrated expertise navigating heavy scheduling conflicts and coordinating across international time zones.
Logistical Execution : Direct experience managing complex global travel requirements, international visa compliance, and executive itinerary tracking.
Technical Software Proficiency : Advanced mastery of the Microsoft Office Suite (specifically Outlook, Excel, PowerPoint, and Word) alongside enterprise collaboration tools like Microsoft Teams.
Professional Competency : Exceptional organizational skills, rigid attention to detail, and a proven ability to manage multiple high-priority tasks independently in a high-pressure environment.
Language Skills : Flawless verbal and written communication skills in English.
Preferred Qualifications
Professional fluency in Spanish or other foreign languages is highly advantageous.
Prior experience supporting global executives and managing logistics across multiple international regions.
Experience operating within a large multinational corporate structure.
Education & Experience
Experience : Minimum of 5+ years of progressive executive administrative experience, with a significant portion dedicated to senior leadership or executive-level support.
Education : High School Diploma or equivalent required; Bachelor s degree in Business Administration, Communications, or a related field is preferred.
Term : Short-term Contract Assignment Assignment Duration : 06/22/2026 to 08/21/2026 (approx. 2-month dedicated coverage)
