Job Title: Administrative Assistant IV

Location: San Diego, CA 92121

Duration: 6 Months

Work Arrangement: 100% Onsite

Position Summary

The Administrative Assistant IV will provide high-level administrative support to the Site Director of Cardio Metabolics and associated teams. This role requires strong organizational, communication, and multitasking skills to effectively support both internal and external stakeholders while ensuring smooth day-to-day operations.

Key Responsibilities
  • Manage calendars, schedule meetings, and coordinate logistics for leadership
  • Arrange domestic and international travel, including support for healthcare providers
  • Process expense reports and invoices accurately and in a timely manner
  • Prepare, format, and maintain presentations, reports, and correspondence
  • Provide administrative and project coordination support for ongoing initiatives
  • Assist with strategic planning activities and quarterly reporting processes
  • Support cross-functional teams and direct reports with administrative needs
  • Handle general office duties such as mail distribution, filing, ordering supplies, and coordinating catering
  • Maintain and update records, reports, and documentation
  • Lead or support special projects as assigned
  • Ensure compliance with company policies, quality standards (QMS/EMS), and regulatory requirements, including FDA guidelines
  • Maintain confidentiality and foster effective communication across all levels of the organization
Required Qualifications
  • High School Diploma or GED (or equivalent experience)
  • Minimum 5 years of experience providing administrative support to senior leadership
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Project)
  • Experience with tools such as Visio and basic graphic tools (e.g., Photoshop) preferred
  • Strong interpersonal, written, and verbal communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • High level of discretion and confidentiality
  • Strong organizational and problem-solving skills
  • Proficiency with standard office equipment
Preferred Qualifications
  • Bachelor's degree preferred
  • Experience working in a cross-functional or matrixed organization
  • Ability to work independently and collaboratively in a dynamic environment
  • Strong attention to detail and follow-up skills
  • Demonstrated ability to take initiative and make sound decisions
