Position Overview

Kaleidoscope Supply Services supports the staffing of this position on behalf of a client company. If selected, you will be employed directly by the client—not Kaleidoscope, the VA, or the federal government.

This role supports a Department of Veterans Affairs (VA) federal contract. You will work alongside VA teams to help deliver services that support veterans and the VA's mission.

About the Role

We are seeking a highly organized and proactive Administrative Assistant to provide critical support for our Projects & Construction and Planning/Major Projects sections. In this role, you will serve as a central hub for project documentation, budget tracking, and vendor coordination, ensuring that our large-scale operations move forward efficiently and in full compliance with regulatory standards.

Key Responsibilities

Maintain meticulous project records and manage the lifecycle of internal documentation.

Assist in budget management tasks, including tracking expenditures and financial reporting.

Act as a primary point of contact for the Projects & Construction or Planning teams, utilizing strong written and verbal skills to coordinate between internal teams and external partners.

Strictly safeguard sensitive information and ensure all administrative processes comply with VA privacy laws, information security, and data protection protocols.

Assist in the generation of solicitation packages and the development of Project Management Plans (PMP) and Team Charters.

Manage IDSR (Integrated Data Systems Report) by tracking and coordinating vendor quotes to support procurement needs.

Facilitate related training for staff on administrative procedures and project tools.

Utilize Microsoft Teams and other collaborative platforms to streamline departmental communication.

Qualifications & Skills

Minimum of 2–3 years of professional administrative experience, preferably within construction, engineering, or project management environments.

A bachelor's degree or higher is preferred; a combination of education and relevant experience may be considered.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat DC is required. Experience with Microsoft Teams is highly beneficial.

Exceptional organizational habits, the ability to prioritize competing deadlines, and a high level of discretion regarding confidential data.

Familiarity with VA privacy laws, federal confidentiality requirements, or similar regulatory frameworks is a significant plus.

Contract Details

This position supports a federal nonpersonal services contract with the VA.

The anticipated contract term includes one base year with up to two optional renewal years, subject to funding, performance, and government needs.

As part of the federal approval process, the VA may review resumes and may request interviews.

Final placement and start date are contingent upon VA approval.

While Kaleidoscope Supply Services manages the staffing process, the employer of record will be the client company supporting the VA contract.

Compensation

Hourly pay: you are paid only for hours worked.

No paid holidays (holiday pay is not reimbursed by the government for this role).

No paid time off (PTO) is included.

Overtime is not permitted unless pre-approved by both the client and the VA.

This compensation structure is standard for federal nonpersonal services contract positions.

Benefits

This type of federal contract does not include government funded benefits. In alignment with contract requirements and standard industry practices:
