GRACE - St. Thomas More Catholic School is looking for a full-time Administrative Assistant for the 26-27 school year, a bilingual(English and Spanish) person is required. The Administrative Assistant under the direction of the principal performs a variety of clerical, secretarial, and other administrative functions required for the operation of the school site and other staff; performs other related duties as required.
Job Description
Essential Functions:
- Monitor and greet visitors as they enter the building and ensure all visitors are directed to where they need to go
- Accurately provide information and answer questions via the phone, email and in-person in a timely manner
- Monitor and maintain office equipment as needed
- Route incoming mail
- Organize and preserve paper and computer files including: student files, grades, attendance, immunizations, class lists and registration
- Report third Friday enrollment numbers to the GRACE administrative office
- Provide administrative support to the principal of the school and others as needed
- Assist, organize vision/hearing screenings
- Provide first aid and basic health care to ill and injured students; contact parents; administer medication according to physician and parent direction
- Call and arrange substitute teachers as needed
- Order and dispense office/school supplies
- Follow money handling procedures as set forth by GRACE administrative office
- Compile and distribute information for weekly newsletter and monthly calendar, etc.
- Perform administrative duties to staff, as needed
- All other duties as assigned by the principal
Qualifications and Education Requirements
- High school diploma or equivalent
- Working knowledge of Microsoft Office, Google Suite, and applicable software
- Working knowledge of general office equipment
- Excellent written and verbal communication skills
- Good organization skills
- Good customer service skills
- Ability to maintain confidentiality is essential
- Bilingual in Spanish and English
Physical Demands
While performing the duties of this job, the employee is regularly required to walk, stand, sit, and frequently bend or twist at the neck and trunk. The employee will use the hands feel objects, tools, and fine manipulation (i.e. keyboarding). The employee must occasionally exert or lift up to 40 pounds. Successful performance requires specific vision abilities that include close vision, distance vision, and peripheral vision
