QUALIFICATIONS YOU'LL NEED

  • Education: High School diploma or GED required; Associate's degree or higher preferred
  • Experience: Minimum 2 years of office or administrative experience
  • Technical Skills: Strong proficiency in Microsoft Office Suite, Windows, and Child Plus; knowledge of multi-line phone systems and two-way radio
  • Professional Competencies: Excellent written and verbal communication skills, professional presence, ability to work independently and take initiative, strict confidentiality
  • Language: Oral and written proficiency in Spanish preferred, including ability to translate documents
  • Additional Requirements: Valid Wisconsin Driver's License with adequate insurance; Caregiver Background Check; physical examination

WHAT YOU'LL DO

As an Administrative Assistant I, you'll keep agency operations running smoothly by:

Front Desk & Communications Support

  • Answering and directing calls using a multi-line phone system
  • Greeting and directing visitors in compliance with agency visitor procedures
  • Monitoring the two-way radio to support bus call-in procedures
  • Receiving and processing agency mail

Administrative & Clerical Support

  • Assisting supervisors and staff with a broad range of clerical and administrative tasks
  • Creating fliers, brochures, and laminated materials for classrooms and administrative staff
  • Updating and maintaining agency policies, procedures, and forms
  • Maintaining the office's organizational systems and overall cleanliness of office equipment

Purchasing & Inventory Management

  • Processing purchasing and supply requests and preparing purchase orders
  • Communicating with vendors and overseeing receipt and delivery of orders
  • Maintaining inventory and stocking supplies including office materials
  • Collecting and maintaining meter readings for all Gordon Flesch devices

Systems & Technology Support

  • Managing and maintaining the administrative phone system for designated sites
  • Managing and maintaining Talk Technologies systems
  • Supporting agency-wide administrative systems development and improvement
