REPORTS TO: Elementary School Principal

HOURS: 8 hours per day (10 months per year)

JOB GOAL: The administrative assistant will act in an informational and clerical capacity to the Elementary School Principal in this dual role. He/she will be directly responsible to the Elementary School Principal for the performance of all assigned duties, gathering and providing information when requested, and administering the office according to guidelines established by the Principal.

JOB RESPONSIBILITIES

  • Keyboard, file, duplicate all materials as required by the administration.
  • Assist in the collection and data base entry of class registration materials as directed by the Elementary School Principal.
  • Answer the telephone and distribute messages.
  • Monitor doors and unlock for visitors. Assist visitor with sign-in procedures as necessary.
  • Greet all visitors to the elementary school and listen to their concerns/requests. Relay those concerns/requests and other pertinent information to appropriate staff.
  • Schedule meetings and inform staff/students through daily announcements.
  • Track student attendance and act as the Attendance Officer for the school as prescribed in Board Policy 431. Keep the Elementary Principal appraised of attendance issues as they arise.
  • Arrange teacher class coverage with principal if no substitute teacher is available or on an emergency basis if the principal is unavailable.
  • Prepare student destination forms and bus passes when necessary.
  • Call parents as necessary concerning school-related issues (absences, tardiness, detentions, suspensions, etc.)
  • Record and maintain computerized attendance records. Print monthly reports, third Friday reports, and end of year reports for District Office.
  • Deposit funds received in the elementary school with the district bookkeeper.
  • Issue receipts for all money other than lunch fund money and deposit funds received with the District Office.
  • Maintain the Elementary School Activity Account. Deposit money from teachers and other staff to various accounts as appropriate.
  • Notify teachers of homework requests from parents.
  • Assist mailing progress reports to parents four times a year.
  • Print and mail report cards and progress reports four times a year.
  • Assist with student registration: prepare and distribute registration packets (registration form, emergency card, school rules, etc.) collect registration fees and completed forms.
  • Prepare purchase orders as needed and sign for packages - open - distribute and return packing slips with purchase orders to the District Bookkeeper for payment.
  • Maintain discipline control of time-out room (full day suspensions, hourly, noon hour detentions, etc.) Mail disciplinary reports for detention, suspension, etc.
  • Screen all students reporting to office for illness or injury.
  • Provide emergency first aid in the absence of the school nurse.
  • Distribute controlled prescription medication per nurse's orders.
  • Contact parent/medical personnel in the event of an emergency.
  • Maintain pride in buildings and grounds and show a caring attitude.
  • Input necessary data and manage Skyward student data base programs as they relate to the elementary schools. Provide staff with assistance concerning Skyward student database system.
  • Assist with district census reporting.
  • Development of class lists, school calendars, newsletter, etc. during the year.
  • Other duties as assigned by the Elementary School Principal or District Administrator.
