Position Summary:
We are seeking a highly organized, proactive, and self-directed Administrative Assistant to provide executive and event support for senior leaders within the Information Technology (IT) organization. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and can effectively manage multiple priorities while maintaining a high level of professionalism and confidentiality.
 
Additional Details:
Contract Length: 12 Months with the possibility of extensions  
Pay range: $25 to $30 per hour on W2 (As per experience)
 
Responsibilities
  • Provide administrative support to senior IT leadership, including a Senior Vice President and Vice President.
  • Coordinate and schedule on-site and off-site meetings, video conferences, and teleconferences, ensuring meeting rooms and technology are properly arranged.
  • Prepare and compile meeting materials, including agendas, presentations, pre-read documents, surveys, and meeting summaries.
  • Interpret and follow corporate policies and administrative procedures.
  • Manage complex calendars, coordinate domestic and international travel arrangements, and process related logistics.
  • Review, prioritize, and route incoming correspondence and communications.
  • Maintain databases, prepare reports, and assist with budget tracking and monitoring.
  • Support special projects, events, and other administrative initiatives as assigned.
 
Required Qualifications
  • Proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint).
  • Experience using Mail Merge in Microsoft Word.
  • Excellent verbal and written communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • High attention to detail and accuracy.
  • Ability to work independently while managing multiple priorities.
  • Positive, professional, and customer-focused attitude.
 
Preferred Qualifications
  • Experience with SAP.
  • Proficiency in Microsoft Outlook.
  • Familiarity with Lotus Notes.
  • Previous experience supporting senior executives in a corporate environment.
 
Must be authorized to work in the United States.
