Job Description

The Administrative Assistant will perform a wide variety of administrative tasks and support the company’s executive-level management as well as all other administrative and medical center staff. The Administrative Assistant should be organized, possess excellent time management skills, and be able to handle multiple tasks. Must be a self-starter and be able to act without continuous guidance. The Administrative Assistant will contribute to the efficiency of the Hot Springs Health Program by being proficient in Excel and Word as well as providing personalized and timely support to executive, administrative, and center staff. The Administrative Assistant is the main link between the public and the medical center.

 Essential Job Duties:
  • Work in conjunction with the Executive Director for all marketing and advertising for HSHP.
  • Manage information flow in a timely and accurate manner.
  • Create forms, documents, charts, and graphs for management and HSHP staff as needed.
  • Manage calendar and set up meetings at centers.
  • Work with HRSA team to create and implement processes and procedures vital to HSHP.
  • Format information for internal and external communication-memos, emails, reports,
  • Take minutes during board and provider meetings, as needed. Upload and email information to relevant parties, record board attendance, and receive and record all information on new board members or board members exiting the board.
  • Sort and distribute all mail correspondence to all staff and centers.
  • Complete monthly schedules to include administrative on-call and Housekeeping.
  • Attend all required meetings and training.
  • Other duties as assigned.

Education and Experience:
  • Education: High School graduate or GED
  • Experience: Prior Executive or Administrative Assistant experience preferred but not required.  Experience with Microsoft Office Suite required.
  • Other: Valid N.C. Driver’s License and dependable transportation.
