Position Summary

Administrative Assistant

Department of Mass Media, Art and Design

Full-Time

Designed to complement the River Campus department office/Crisp Museum (operations) position while serving as the departments governance and academic operations lead.

Primary Responsibilities

  • Provide administrative support for main campus academic office operations, departmental governance and faculty support.
  • Cross-train and coordinate with the administrative support for the River Campus academic office to ensure consistent departmental service.
  • Coordinate department meetings, agendas, minutes, elections, committee records, and policy documentation.
  • Manage course scheduling, textbook adoption, advising assignments, enrollment overrides, and waitlists.
  • Maintain faculty personnel files, accreditation documentation, assessment records, and confidential departmental records.
  • Coordinate faculty travel, professional development, hiring paperwork, and onboarding.
  • Process departmental purchasing, budget transactions, expense reports, and student media administrative support.
  • Provide front-office reception and support to current and prospective students.
  • Train and supervise student office employees and coordinate daily office workflow.

Required Qualifications

  • High school diploma or GED.
  • Demonstrated proficiency with Microsoft Office (Word, Excel, Outlook) and ability to learn university systems.
  • Excellent organizational, interpersonal, verbal, and written communication skills.
  • Demonstrated ability to manage multiple priorities with frequent interruptions.
  • Ability to work independently, exercise sound judgment, and maintain confidentiality.
  • Experience with bookkeeping, purchasing, budget reconciliation, accounts payable/receivable, or similar financial processes.
  • Commitment to outstanding customer service and positive relationships with students, faculty, staff, and external constituents.
  • Experience supervising, training, or coordinating student employees or support staff is a plus.
