Summary:

This position is contingent upon contract award and funding.

 

The Administrative Assistant provides administrative, logistical, scheduling, documentation, and operational support for research and public health activities supporting the Department of Defense auditory health mission. This position assists Government and contractor personnel in maintaining efficient program operations and supporting contract deliverables.

 

Work location: Hybrid in Maryland

Responsibilities:

Essential Job Functions:

  • Coordinate meetings, calendars, and conference calls.
  • Prepare correspondence, reports, memoranda, and meeting materials.
  • Support travel coordination and logistics.
  • Maintain records management and document control systems.
  • Track action items, deliverables, and administrative deadlines.
  • Assist with onboarding, personnel tracking, and workforce administration.
  • Support data entry and records maintenance activities.
  • Coordinate office operations and administrative processes.
  • Assist with procurement documentation and tracking.
  • Support program reporting and communication activities.
Qualifications:

Necessary Skills and Knowledge:

  • Possess excellent written and verbal communication skills.
  • Possess knowledge of Microsoft Office applications.
  • Possess excellent ability to manage multiple tasks with competing deadlines.

Minimum Qualifications:

  • Bachelor's degree preferred
  • Minimum two (2) years of administrative support experience
  • S. Citizenship required.
  • Ability to obtain and maintain a favorable Government suitability determination.

Preferred Qualifications:

  • Experience supporting federal contracts, healthcare organizations, or research programs.
  • Experience supporting executive leadership, program managers, and multidisciplinary teams.
  • Advanced proficiency with Microsoft Office Suite including Word, Excel, PowerPoint, Teams, and Outlook.
  • Experience utilizing SharePoint, document management systems, or collaboration platforms.
  • Experience maintaining records containing Personally Identifiable Information (PII) and Protected Health Information (PHI).
  • Experience coordinating Government travel in accordance with Joint Travel Regulations (JTR).
  • Familiarity with DHA, DoD, military treatment facilities, or federal administrative environments.
  • Experience supporting geographically dispersed teams, hybrid work environments, remote operations, or nationwide field activities.
  • Preferred candidates will have current or prior experience supporting the Defense Health Agency (DHA), Hearing Center of Excellence (HCE), National Military Audiology and Speech Pathology Center (NMASC), Defense Centers for Public Health (DCPH), Military Health System (MHS), Veterans Health Administration (VHA), military treatment facilities (MTFs), hearing conservation programs, auditory readiness initiatives, or other military health and public health programs.

Pay and Benefits

The pay range for this position is $24.00 to $32.00 per hour.
