Salary Range: $21.00 – $27.00 per hour

The Mission Advancement Administrative Assistant plays a key role in supporting the Office of Mission Advancement. This position helps strengthen relationships between the Sisters of Mercy, donors, and professional partners through high-quality administrative support, communication, and coordination.
This role requires a highly organized, self-motivated individual who can manage multiple priorities, maintain strict attention to detail, and work independently while supporting a mission-driven team.
You will support donor engagement, financial processing, and office operations, including:
Donor Stewardship & Engagement
Prepare and send donor acknowledgements, cards, and communications in a timely manner
Coordinate volunteer support for donor outreach and thank-you efforts
Support donor giving circles, including scheduling, records, minutes, and mailings
Assist with donor estate files and gift processing follow-up
Contribute to donor communications, appeals, and mission advancement materials
Financial & Administrative Support
Process deposits and donor contributions using scanning systems and financial tools
Enter and monitor invoices and generate check requests
Support reconciliation of donations and financial records
Assist with monthly reporting and annual audit preparation
Office Operations
Serve as the first point of contact for the Mission Advancement office
Manage incoming/outgoing mail, supplies, and office equipment needs
Prepare correspondence, reports, and internal communications
Maintain organized records and documentation
Support general office workflow and administrative needs
Additional Responsibilities
Maintain a safe, professional, and respectful work environment
Follow all organizational policies, procedures, and confidentiality standards
Contribute to a collaborative, mission-centered office culture
Required Qualifications
Minimum of 2 years administrative assistant experience (or equivalent education/experience)
Strong proficiency in Microsoft Office 365, including Teams, SharePoint, and mail merge
Excellent attention to detail, grammar, spelling, and written communication skills
Ability to manage multiple priorities, meet deadlines, and work independently
Strong interpersonal skills and professional judgment
Commitment to maintaining donor confidentiality
Preferred Qualifications
Experience in a religious organization or nonprofit advancement environment
Commissioned Notary Public
Familiarity with donor systems, fundraising, or financial reconciliation processes
Understanding of advancement principles and data integrity
Alignment with the mission and values of the Sisters of Mercy
