Administrative Assistant to support a busy team in its New York City office. Salary/Hourly Rate: $25/hr - $28/hr
Position Overview: The Administrative Assistant will provide day-to-day administrative and operational support to multiple professionals within the firm. The ideal candidate is proactive, detail-oriented, professional, and capable of managing multiple priorities in a deadline-driven financial environment.
Responsibilities of the Administrative Assistant:- Manage calendars, meetings, and scheduling for team members.
- Coordinate conference rooms and meeting logistics.
- Prepare and format reports, presentations, correspondence, and other documents.
- Assist with domestic travel arrangements and itineraries as needed.
- Process expense reports, invoices, and reimbursements.
- Maintain organized electronic and physical files.
- Perform data entry and update internal databases and tracking systems.
- Coordinate with internal departments, clients, and external vendors.
- Handle confidential and sensitive information with discretion.
- Assist with special projects and additional administrative responsibilities as needed.
Required Experience/Skills for the Administrative Assistant:- Previous administrative assistant or corporate office experience.
- Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Exceptional attention to detail and accuracy.
- Professional and polished demeanor.
- Ability to prioritize competing responsibilities in a fast-paced environment.
- Proactive, dependable, and team-oriented approach.
- Ability to handle confidential information appropriately.
Preferred Experience/Skills for the Administrative Assistant:- Previous experience within Finance, Banking, Investment Management, Private Equity, Hedge Funds, or professional services.
- Experience supporting multiple senior-level professionals.
- Familiarity with expense management and travel platforms.
Education Requirements:- Bachelor's degree is preferred.
