    Job Description

    Overview:

    The Administrative Assistant position enables efficient program operations through administrative support functions within a designated area, region, or service line. 

     

    Responsibilities:

    GENERAL OFFICE CLERK / RECEPTION / SECRETARY
    REPORTS TO: DIRECTOR OF NURSING
    POSITION QUALIFICATIONS:
    High school graduate or equivalent
    Knowledge of and willingness to learn basic office procedures and use of equipment
    Willing to learn basic skills required for specific duties
    DUTUES:
    Maintain confidentiality regarding all agency records
    Maintain office filing systems, Files all documents appropriately
    Answers multiple phone lines politely with professionalism and transfers or relays messages to appropriate
    person/department
    Responsible for keeping copies of all documents stocked
    Responsible for preparing new admission packets and new employee application packets
    Prepare new client charts, i.e. print and label
    Scan appropriate pages from new client charts into generations and distribute appropriate copies of documents
    to office staff and RN supervisor
    Gathers, collates and distributes incoming mail as needed
    Organizes files and supplies
    Assists with inventory and ordering of office supplies. Organizes and put away all delivered office supplies
    General housekeeping duties as requested
    Copy, print and track caregiver in-services for the year
    Address and send birthday cards and sympathy cards monthly for care givers and clients
    Greet everyone that comes in the door politely with professionalism
    Break down, file and audit discharged clients charts
    Assist HR with needs as necessary (ex. Assist new employee applicant with application process)
    Bag and maintain stock of gloves for caregivers
    Other duties as assigned by the Director of nursing/Administrator

    Qualifications:

    High School Diploma or equivalent

    1 year experience in an office environment, preferably in a human services field

    Proficiency with computer applications and productivity software

    Attention to detail and professionalism in the workplace

    Occasional travel may be required
