    Description

    The Opportunity

We are seeking a highly organized, process-driven Client Services Associate who takes pride in creating structure, maintaining consistency, and ensuring nothing falls through the cracks.

This role is ideal for someone who enjoys bringing order to a busy environment, managing multiple priorities with precision, and serving as the operational backbone of a client-focused advisory team. You thrive on creating efficient systems, following established processes, and providing exceptional support to both clients and advisors.

If you enjoy checking items off your list, anticipating administrative needs, and making sure every detail has been thoughtfully completed, this role may be an excellent fit.

    What You'll Do

    • Manage client service requests from start to finish with accuracy and attention to detail.
    • Coordinate account paperwork, service requests, transfers, and follow-up activities.
    • Maintain accurate client records and ensure documentation is complete and compliant.
    • Schedule appointments, prepare meeting materials, and coordinate advisor calendars.
    • Track outstanding items and proactively follow up until every task is completed.
    • Organize workflows, prioritize competing deadlines, and maintain consistent processes.
    • Communicate professionally with clients while providing timely updates and clear expectations.
    • Support advisors by anticipating administrative needs and keeping work moving efficiently.
    • Identify opportunities to improve organization and simplify existing processes while maintaining consistency.
    • Work collaboratively with the team to ensure a seamless client experience.

    What Makes Someone Successful

    The ideal candidate naturally:

    • Creates structure where others see complexity.
    • Enjoys organization, planning, and following established processes.
    • Takes ownership of tasks and follows them through to completion.
    • Values consistency and accuracy over speed.
    • Communicates clearly and concisely.
    • Can simplify complex information for clients and teammates.
    • Adapts to change without becoming distracted by it.
    • Maintains a calm, steady approach during busy periods.
    • Finds satisfaction in supporting others and helping the team succeed.

    Preferred Experience

    • Experience supporting financial advisors, banking professionals, attorneys, accountants, insurance professionals, or other professional service environments is preferred.
    • Strong organizational and administrative skills.
    • Experience managing multiple priorities while maintaining exceptional accuracy.
    • Comfortable learning technology and following established workflows.
    • Excellent written and verbal communication skills.
    • Strong client service orientation with a professional and polished demeanor.

    The Person We're Looking For

You probably won't describe yourself as the loudest person in the room. Instead, you're the person who quietly makes everything work.

You enjoy creating order, keeping commitments, and making sure clients receive a consistently exceptional experience. You don't need constant change to stay engaged—you take pride in building reliable systems that others can depend on.

If coworkers describe you as dependable, organized, thorough, and someone who "always has it handled," you'll likely find this role both rewarding and energizing.

Salary:  Is based on experience, but the cap for this role is $85,000.
