The Administrative Assistant provides administrative, office operations, and facilities support for Everlake's Northbrook office. This in-office role serves as a primary point of contact for visitors, employees, vendors, and business partners while supporting day-to-day activities that contribute to an efficient, professional, and welcoming workplace environment.
The position is responsible for reception and visitor management, facilities coordination, meeting and event support, office supply management, and administrative assistance for designated departments and leaders. The role also supports office operations activities, including switchboard support, meeting logistics, and other business support functions.
The successful candidate will play an important role in supporting the employee and visitor experience by providing exceptional service, operational coordination, and administrative support while helping ensure the efficient operation of the office.
• Serve as a primary reception resource for the Northbrook office, including greeting visitors, managing visitor access, and supporting office hospitality activities as needed.
• Answer, screen, and route incoming calls and provide switchboard coverage as needed.
• Support day-to-day office operations, including incoming mail handling, outgoing mail/package shipment, supply management, office organization, and facilities-related activities.
• Provide administrative support to designated leaders and departments, including scheduling, travel coordination, expense reporting, and document preparation.
• Support business teams with administrative activities, such as tracking, follow-up tasks, and documentation.
• Serve as a backup resource for check processing and other operational support activities as assigned.
• Assist with office communications, employee events, onboarding activities, and employee engagement initiatives.
• Support records management, filing, and administrative reporting activities as assigned.
• Provide backup coverage for Executive Administrative Assistants and support business continuity during absences or periods of increased workload.
• Assist with administrative process improvements and operational support activities as assigned.
• High school diploma or equivalent required; additional education or administrative training preferred.
• Two to five years of administrative, office coordination, reception, customer service, or business support experience.
• Experience supporting multiple leaders, departments, or business functions preferred.
• Experience coordinating meetings, events, travel arrangements, office operations, or related administrative activities.
• Experience working with external visitors, vendors, and business partners in a professional office environment.
• Experience with Microsoft Office applications, calendars, expense reporting systems, and administrative technologies; proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, Zoom and other administrative technologies is strongly preferred
• Experience supporting facilities, office management, or workplace operations activities is a plus.
• Strong organizational and time-management skills with the ability to manage multiple priorities while maintaining attention to detail.
• Strong customer service, communication, and interpersonal skills.
• Ability to handle confidential and sensitive information with discretion.
• Strong problem-solving skills and a proactive approach to supporting business needs.
• Ability to work independently while collaborating effectively with employees across the organization.
