Position Title: Administrative Assistant

Status: Non-Exempt

Compensation: $22.00 per hour

Principal Purpose of Position: 

  

Assist in traditional administrative Assistant duties including data entry and front desk responsibilities.

The Daily: 

  

  • Pulling Data from various website and downloading data 
  • Updating monthly Google sheets for all customer accounts 
  • Transferring data to customer’s account 
  • Transferring accounts from dealer to customer 
  • Assist with cancellations of customer accounts 
  • Assist with assigning devices to accounts 
  • Monitor incoming emails and answer or forward as required 
  • Complete special projects as needed for Sales Reps and management 
  • Assist the dealerships directly with any call-in or email-in needs 
  • Retrieve and prepare daily or bi-weekly detailed finance numbers, and forward to dealerships 
  • Fill supply orders for dealerships and/or service reps 
  • Assist with cancellations for dealers 
  • Assist with setting up Dealership users in Vendor Portals 
  • Supply orders and supply room management; ordering office supplies and vendor supplies for dealerships such as contracts 
  • Check in and log all remittances received in business log and remittance report 
  • Assist with answering phones and transfer to the appropriate staff member 
  • Take and distribute accurate messages 
  • Greet public and clients and direct them to the correct staff member 
  • Receive, sort and distribute incoming mail 
  • Monitor incoming emails and answer or forward as required 
  • Prepare outgoing mail for distribution 
  • Fax, scan and copy documents 
  • Maintain office filing 
  • Data entry 
  • Monitor and maintain office supplies 
  • Ensure office equipment is properly maintained and serviced 
  • Perform work related errands as requested 
  • Keep office area clean and tidy 

Education and Experience: 

  • High School Diploma or equivalent 
  • Business college training an advantage 
  • Previous office experience may be requested but this can also be entry level position 
  • Competent computer skills including MS Office 
  • Internet skills including use of e-mails, group messaging and data collection
