This position is located at the SC Department of Behavioral Health and Developmental Disabilities (DBHDD) - Office of Mental Health, Patrick B. Harris Psychiatric Hospital, 130 SC-252, Anderson, SC 29621.

As the Administrative Assistant, you will coordinate and direct administrative and secretarial operations of the Nursing Administration Division of Harris Hospital.

Responsibilities for the Administrative Assistant include:

  • Serve as the Executive Secretary to the Nursing Executive / Nurse Manager, Institutional and Nurse Manager IIs (NMII). Maintain master file of all Nursing Service minutes, reports and pertinent data and generates graphics, labels and other data as necessary.
  • Serve as the Nursing Staff Scheduler; distribute computerized schedules for all nursing staff and distribute daily computerized nursing staff rosters to the NMIIs. Maintain a database of all required mandatory training and schedules needed training for employee to maintain compliance.
  • Responsible for reconciling and clearing exceptions in Kronos for the Harris Hospital Nursing Department staff on a daily basis and for training nursing staff of their responsibilities in using the Kronos system.
  • Prepare revisions or additions to Nursing Service Operational Policies and Procedures per committee instructions. Maintain master file and master computer file of all original Nursing Service Operational Policies and Procedures. Keep Lodge Clerks/Administrative Specialists Ils abreast of information which is required in their specific areas.
  • Serve as coordinator and prepare performance reviews / Employee Performance Management System (EPMSs) for distribution for all nursing staff. Support and abide by EPMS and Progressive Disciplinary policies.
  • Coordinate Student Nurse clinical rotation schedules and orientation schedules for Schools of Nursing with area higher education institutions.
  • Schedule applicants for interviews for licensed and non-licensed nursing positions and provide tours of the facility explaining nursing rules and regulations to licensed and non-licensed applicants when appropriate.
  • Maintain clinical competency by mastering / qualifying required mandatory and non-mandatory in-service / training during this rating period.

Minimum and Additional Requirements

  • A high school diploma and work experience that is directly related to the area of employment.
  • A bachelors degree may be substituted for the related work experience.

Additional Requirements

  • Ability to sit at computer for extended period of time.
  • Ability to lift up to fifty (50) pounds; ability to stand, walk, reach, pull, stoop, bend and climb at least two flights of stairs.
  • Ability to tolerate noise level and circulate in patient areas as needed.
  • Ability to work with repetitive unusual patient behaviors.

Preferred Qualifications

  • A bachelors degree and one (1) year experience or high school graduate and five (5) years experience in clerical or administrative position(s).
  • Bilingual abilities in English and Spanish (or another language) are a plus.

Additional Comments

Post hire, employees must:

  • Have knowledge of filing and compiling reports, typing (35 WPM or better).
  • Have ability to work under supervision and be self-motivated and very versatile.
  • Have ability to keep and record minutes of assigned meetings.
  • Have an understanding of scheduling systems.
