Position Overview
We are seeking a highly organized and proactive Administrative Assistant to support daily office and operational functions in a fast paced environment. This role is responsible for keeping administrative processes running smoothly while supporting internal teams with coordination, communication, logistics, and office management.
The ideal candidate is detail oriented, dependable, resourceful, and able to manage multiple priorities with professionalism and strong follow through.
Key Responsibilities
Office Operations
• Greet visitors and manage incoming calls professionally
• Maintain a clean, organized, and fully stocked office environment
• Coordinate incoming and outgoing mail, shipping, and office logistics
Document & Data Management
• Prepare, organize, and maintain files and documentation
• Perform accurate data entry, recordkeeping, and reporting
• Maintain organized digital and physical filing systems
Scheduling & Communication
• Coordinate calendars, meetings, and travel arrangements
• Draft and send internal and external communications
• Support communication between departments, vendors, and partners
IT & Equipment Coordination
• Coordinate workstation setup for new hires
• Assist with phones, computers, and office equipment coordination
• Liaise with IT support and maintain equipment tracking records
Inventory & Supply Management
• Order and maintain office supplies, PPE, and company materials
• Track inventory levels and coordinate distribution as needed
Events & Logistics
• Assist with company events, meetings, and travel logistics
• Coordinate vendors, timelines, and event details
• Track invoices, deposits, and administrative documentation
Training & Records Support
• Maintain employee training records and documentation
• Track missing records and assist with audits or compliance needs
Marketing & Administrative Support
• Assist with updating company materials and organizing photos/files
• Support special projects and additional administrative tasks as assigned
Facility & Team Support
• Coordinate office maintenance and vendor services
• Support employee engagement initiatives and office culture activities
Qualifications
• High school diploma required
• Previous administrative or office support experience preferred
• Proficiency in Microsoft Office Suite
• Strong organizational skills and attention to detail
• Excellent written and verbal communication skills
• Ability to multitask, prioritize, and work independently
