Job Title Administrative Assistant of College Readiness Job Description

The Administrative Assistant of College Readiness provides administrative and student support services for the College & Career Readiness (CCR) Division. This position serves as the primary point of contact for students and the public, coordinates student assessments and HiSET testing activities, maintains student records and attendance data, supports student performance data to support state and federal reporting requirements, and assists with student retention and recruitment initiatives.

The Administrative Assistant works closely with instructors to ensure compliance with testing and reporting requirements, provides technology support to students, facilitates student transitions to postsecondary education and training opportunities, and contributes to the overall effectiveness of the CCR program through administrative support, committee participation, and professional development.

This is a full-time, 12-month position reporting to the Director of College & Career Readiness.

This position is supported by North Carolina College and Career Readiness (CCR) State funding. Continued employment is contingent upon the availability of these funds.

Full Time or Part Time Full Time Essential Duties Summary

Duties and Responsibilities will include the following:

  • Receptionist for the College & Career Readiness (CCR) Division, providing general information to the public about the division and the college.
  • Help input student testing data, monitor data, and coordinate post-testing efforts monthly with all instructors to meet federal and state performance measures.
  • Help oversee the data for state, federal, and WIOA monthly reports. Monthly reporting of all classes MSGs and POPs. A. Email each instructor MSG spreadsheets monthly.
  • Responsible for checking and approving student attendance weekly.
  • Serve as HiSET testing check-in in person. Some evening hours are required. a. Graduating students in Advansys upon completion.
  • Coordinate the assessment process for all CCR students in the WCC service area. A. Provide orientation schedule for Wilkes. B. Administer assessments to new students. C. Ensure other locations have an appropriate test administrator available when needed.
  • Work directly with each instructor to ensure they are certified to give specific tests according to state requirements and are meeting the National Reporting System (NRS) testing requirements. A. Maintain assessment certification spreadsheets and notify instructors when they need to re-certify in administering CASAS and/or TABE.
  • Serve as the retention specialist for all CCR students. A. Coordinating with all instructors and monitoring student attendance. B. Calling students and/or mailings for follow-up. C. Monitoring attendance for minors for the NC Driver's License law.
  • Implement and coordinate efforts for recruitment within the service area.
  • Provide information and assistance to all Adult High School and HSE graduates for entering post-secondary education/training programs.
  • Prepare documents and reports in Microsoft Office applications.
  • Serve as the contact for CCR students and technology issues.
  • Serve on college committees as assigned.
  • Participate in professional development.
  • Other related duties as required by supervisor.

Required Qualifications

  • Associate's Degree in Business Administration, Office Systems Technology, or related field,
  • Demonstrated proficiency with Microsoft Office Suite,
  • Strong customer service skills,
  • Ability to manage multiple projects, organizational and time management skills,
  • Ability to work within a team, and
  • Ability to communicate with all levels of employees and students.

Preferred Qualifications

Physical Demands

Work is primarily performed under general supervision in an office setting with appropriate climate controls. Requires the ability to exercise good judgment in a variety of situations. Requires strong written and verbal communication, administrative, and organizational skills. Must be able to work under pressure and handle all confidential matters with discretion. Travel, evening, and weekend work will be required.

Essential functions of this position require: lifting, manual dexterity, and ability to communicate.

Light work: Exerting up to 25 pounds of force occasionally and/or up to 5 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body; involves sitting for long periods.

Mental Application: Utilizes memory for details, verbal instructions, emotional stability, critical thinking, adaptability, and creative problem-solving skills.

Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.

Salary Grade Salary Salary Range: $31,200 to $42,000 based on education and experience in accordance with the college salary plan.
