General Description of the Position

Provide administrative support to the Special Assistant to the President. The Administrative Assistant will provide smooth, efficient daily support for the Office of the President. This role requires professionalism, absolute discretion

and confidentiality, and the ability to effectively engage with faculty, staff, students, and external stakeholders.

Essential Functions & Required Knowledge, Skills and Abilities

The following are the functions essential to performing this job:

  • Provide professional verbal and written communication with internal and external constituents
  • Manage calendars, schedule appointments, and coordinate meetings
  • Arrange travel as needed
  • Respond to inquiries via phone, email, and in person
  • Process incoming correspondence and route appropriately
  • Maintain organized electronic and paper filing systems
  • Develop tracking systems and conduct follow-ups to ensure timely resolution of matters
  • Prepare reports (monthly, quarterly, annual) and routine correspondence
  • Process invoices, requisitions, purchase orders, and manage office supplies
  • Collect and analyze data as assigned
  • Support University events and initiatives
  • Assist in improving office procedures
  • Perform other related duties as assigned

Required Knowledge, Skills, and Abilities

The individual in this job must possess these skills and abilities or be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation using some other combination of skills and abilities:

  • Must exhibit excellent customer service and interpersonal skills
  • Knowledge of executive office protocols and general office procedures
  • Must possess strong multitasking, organizational, and communication skills - both verbal and written
  • Knowledge of grammar, punctuation, spelling, and composition
  • Intermediate to advanced knowledge of Microsoft Office Suite (Excel, Word, PowerPoint; Access preferred)
  • Ability to interpret and apply policies and procedures
  • High attention to detail and ability to work effectively under pressure
  • Ability to maintain confidentiality and exercise sound judgment

Qualification Standards

  • Education, training, and/or experience equivalent to a Bachelor's degree. Associate or Bachelor's degree in Business Administration or related subject a plus.
  • A minimum of 3 years previous work experience supporting C-suite level executives
  • One or more years of successful experience in managing, analyzing, and reporting using Microsoft Excel, Microsoft Word, Access, and PowerPoint. One or more years of successful experience in Delaware state accounting system (DFMS) and/or Banner Software a plus.
