Job Summary

Join a team of professionals dedicated to serving students and assisting with their success from Orientation through Graduation! We are seeking someone to join our team to keep our office running efficiently, support multiple staff and programs including financial processes and answering inquiries from students, parents and other constituents.

This position provides complex secretarial and administrative support at a high confidential level to the Assistant Vice President & Dean of Students and the Assistant Dean of Students for Student Assistance. In this role the Administrative Assistant is the primary receiver of visitors and calls to the office. This person recommends, develops, and carries out administrative or staff operations, work standards and procedures, research and studies, and prepares reports of findings and recommendations in budgeting and departmental finances. The position provides support for Student Affairs initiatives, projects, events, student retention and development programs, response initiatives, and student inquiries.

This position ensures the smooth operation of all aspects/programs under the Assistant Vice President & Dean of Students in concert with the Division of Student Affairs. This position requires excellent judgement, the ability to multi-task, and the ability to work with a high degree of autonomy. This position requires dealing directly with students, faculty, administrators, parents, and the public from diverse backgrounds, and includes responding to inquiries and resolving problems as necessary.

The successful candidate will assist in creating an inclusive office environment and ensure that the office culture, language, and customer service celebrates diversity and is inclusive and welcoming to all students, staff, faculty, vendors, and guests.

Minimum Qualifications

  • 2 years of administrative experience
  • Experience with budget management
  • Fluent with office technology and computer programs, including working with the Microsoft 365 Office Suite

Preferred Qualifications

  • Knowledge of and experience using KU/PASSHE computer systems including Banner, SAP, D2L, lngenuix, Maxient, MyKU, ESS, Handshake, EMS, Source Point, and other commonly used software products.
  • Experience with assessment of programs, events, and initiatives.
  • 5 or more years administrative or student affairs experience
  • Associates Degree or job-specific training/experience

The starting salary for this position is $46,827.00, based on the AFSCME Collective Bargaining Agreement.

This position may be eligible for a flexible hybrid work arrangement, permitting a combination of on-site and remote work, subject to applicable organizational policies, operational requirements, and supervisory approval.
