Administrative Assistant
Location: Pantego, TX (Onsite)
Schedule: Monday–Friday, 7:00 AM – 3:30 PM, with overtime as needed
Position Type: Contract with potential for extension
About the Role
We are seeking a dependable and detail-oriented Administrative Assistant to provide clerical and administrative support in a fast-paced operations environment. This role is ideal for someone who enjoys staying organized, managing multiple priorities, and providing excellent customer service while supporting a variety of administrative functions.
The ideal candidate is self-motivated, able to work independently with minimal supervision, and comfortable handling confidential information.
Responsibilities
- Process invoices accurately and in a timely manner
- Create, organize, and maintain files, records, and reports
- Reconcile purchase card transactions
- Assist with employee timekeeping and payroll-related documentation
- Maintain vehicle records and related documentation
- Order, track, and maintain office supplies
- Manage department files and confidential records
- Gather, compile, and summarize information for reports and special projects
- Provide administrative support to multiple team members
- Respond to customer and employee inquiries with professionalism
- Update and maintain internal systems and records
- Assist with damage claims and administrative documentation
- Perform general clerical duties including data entry, filing, scanning, and document preparation
- Participate in an on-call rotation as required
- Support emergency response activities, including overtime and reporting to work during adverse weather conditions when necessary
- Perform other administrative duties as assigned
Qualifications
- Previous experience in an administrative, clerical, or office support role
- Strong organizational skills with excellent attention to detail
- Ability to manage multiple tasks and meet deadlines in a fast-paced environment
- Excellent customer service, verbal communication, and interpersonal skills
- Ability to work independently with minimal supervision
- Experience handling confidential information with professionalism
- Proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint
- Strong problem-solving and time management skills
- High school diploma or equivalent required
Preferred Qualifications
- Experience with invoice processing or accounts payable support
- Experience with timekeeping, payroll support, or purchase card reconciliation
- Experience maintaining records and preparing reports
- Experience supporting utility, construction, operations, or field service teams is a plus
