This role is ideal for someone who is organized, professional, detail-oriented, and comfortable managing multiple priorities.The Administrative Assistant works closely with the CEO, Executive Team, Board members, committees, vendors, and community partners. Because this position supports executive operations and organizational governance, confidentiality and discretion are essential.What You'll DoManage the CEO's calendar, meetings, appointments, and eventsCoordinate meeting locations, virtual links, agendas, materials, and logisticsResolve scheduling conflicts and help prioritize appointmentsConfirm attendance and communicate meeting detailsAttend Executive Team, Board, committee, and other assigned meetingsRecord, prepare, and distribute accurate meeting minutesMaintain official meeting minutes, governance documents, and organizational recordsPrepare meeting packets, agendas, reports, and supporting materialsAssist with planning and carrying out annual fundraising eventsCoordinate event vendors, invitations, sponsorships, registrations, timelines, and logisticsTrack event deadlines, tasks, and follow-up itemsAssist with special projects, research, data collection, and administrative initiativesOrder and maintain office and meeting supplies for executive operationsComplete occasional local errands and special projects assigned by the CEOReasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Responsibilities may change based on organizational needs.What We're Looking For:High school diploma or equivalent requiredAssociate degree preferredAt least 2 years of administrative support experienceExperience supporting senior leaders or an executive office preferredExperience working with nonprofit executives, boards, or leadership teams preferredExperience coordinating events, fundraising activities, or community engagement preferredExperience supporting Board or governance processes preferredKnowledge and Skills:Proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and TeamsStrong written and verbal communication skillsStrong organization and time managementAbility to manage several priorities and deadlinesHigh level of professionalism and confidentialityAccurate note-taking, recordkeeping, and meeting-minute preparationStrong attention to detailProblem-solving and initiativeAbility to work independently and collaborate with different stakeholdersKnowledge of nonprofit governance and Board meeting processes is a plusSchedule:This position is scheduled for approximately 28 hours per week. Occasional flexibility may be needed to support Board meetings, fundraising events, special activities, or other responsibilities outside normal business hours.
