The Part-Time Administrative Assistant provides administrative support to the Human Resources and Payroll departments by maintaining employee records, assisting with onboarding activities and payroll processes, coordinating appointments, and performing a variety of clerical and data entry tasks.

This position reports directly to the Associate HR Director.

This position is ideal for a reliable, organized, and detail-oriented individual who enjoys working in a fast-paced environment and supporting daily office operations. The successful candidate will demonstrate strong organizational skills, attention to detail, professionalism, dependability, and the ability to manage multiple tasks efficiently while handling confidential information with discretion.

This position is scheduled to work 16 hours per week, as follows:

Monday: 8:30 AM-12:30 PM

Tuesday: 8:30 AM-12:30 PM

Wednesday: 8:30 AM-12:30 PM

Thursday: 8:30 AM-12:30 PM

Friday: Off

  • During high-volume periods, the employee may be scheduled to work up to 20 hours per week, as needed.

  • This position may occasionally require attendance at employee events.

Essential Duties

  • Perform general administrative and clerical duties.

  • File, organize, and maintain paper and electronic records.

  • Scan, copy, and upload documents into electronic filing systems.

  • Assist with payroll and human resources administration by scanning, filing, and organizing payroll and HR-related documentation.

  • Schedule and coordinate appointments for new hires.

  • Assist new employees with completing onboarding and new hire paperwork.

  • Enter and update data accurately in company systems.

  • Provide assistance at employee related events.

  • Serve as a receptionist as needed by greeting visitors, answering phones, and directing inquiries appropriately.

Minimum Requirements

Required educational background:

  • High school diploma or GED

Required kind and number years of work experience:

  • One (1) year of administrative support experience, preferably in an office environment requiring detailed recordkeeping and customer service.

  • Basic proficiency with Adobe, Microsoft Office, Google Workspace and general computer skills.

  • Ability to accurately file, scan, and maintain electronic and paper records.

Required knowledge, skills and abilities:

  • Strong organizational skills with attention to detail.

  • Ability to maintain confidentiality of employee and payroll information.

  • Excellent verbal and written communication skills.

  • Ability to prioritize tasks, work independently, and meet deadlines.

Preferred Requirements

  • Associate degree in Business Administration, Human Resources, or a related field.

  • Previous administrative, Human Resources, Payroll, or office support experience.

  • Experience maintaining confidential employee records and handling sensitive information with discretion.

  • Experience with electronic personnel files, document management systems, or other digital recordkeeping systems.

  • Experience using Microsoft Excel for tracking and reporting.
