Established in 1970, Southside Virginia Community College (SVCC) is one of 23 colleges in the Virginia Community College System, with seven locations across several counties, including Brunswick, Charlotte, Nottoway, Mecklenburg, Greensville, and Halifax. Help keep SVCC President's Office running seamlessly-Come join the team!

Provide high-level administrative support to the President's office while ensuring efficient coordination, confidentiality, and exceptional customer service. Part time position working on the Christanna Campus in Alberta. The admin and office specialist will assist the President's coordinator.

Duties and Responsibilities
  • Assist in maintaining and managing the President's calendar, ensuring the President's office is informed of schedule changes, appointments, and potential conflicts
  • Assist with coordinating meeting and event logistics, including scheduling, room reservations, catering arrangements, and on-site event support.
  • Assist in coordinating the President's travel arrangements, including travel authorizations, reservations, itineraries, accommodations, transportation, and related logistics.
  • Assist in providing administrative support for the presidential initiatives, leadership programs, and special projects.
  • Prepare and organize correspondence, reports, agendas, meeting materials, minutes, and other documents for the President's Office, including follow-up on action items as needed.
  • Greet visitors, professionally screen incoming calls, and route inquiries to the appropriate individual
  • Prepare and coordinate the distribution of mailings and communications from the President's Office.
  • Maintain and update mailing lists and contact databases for retirees, college supporters, special guests, and other constituents to support effective communication and outreach efforts.
  • Monitor office supply inventories, prepare orders as needed, and submit and track purchase orders through the state procurement system
  • Assist with the planning and coordination of Local Board meetings, receptions, commencement exercises, and other special events
  • Maintain a high level of professionalism, discretion, and confidentiality in handling sensitive information
  • Perform routine office duties, including filing, copying, scanning, and electronic document management
  • Assist with other duties as needed.
Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications
  • High school diploma or equivalent.
  • Strong written and verbal communication, interpersonal, and organizational skills
  • Ability to represent the College and its mission in a professional manner
  • Demonstrated ability to maintain confidentiality and exercise discretion when handling sensitive information and communications
  • Ability to organize, maintain, and retrieve electronic and hard copy records efficiently
  • Ability to manage multiple priorities and deadlines in a fast-paced office environment
  • Excellent typing, editing, and proofreading skills with a strong attention to detail
  • Expierence with accurately recording and preparing meeting notes and minutes and work effectively with numerical data
  • Experience using Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, and Google Workspace applications.
  • Expierence wotking with spreadsheet, database, and data-entry applications with a high degree of accuracy
  • Strong attention to detail with the ability to anticipate needs and proactively provide support Experience performing administrative duties, office support functions, or related responsibilities
  • Ability to provide strong critical thinking, time management, and prioritization abilities
  • Ability to work effectively both independently and as a member of a team
