Duties

  • Assist with planning, scheduling, and coordinating professional development workshops, academies, conferences, and other events (in-person and virtual).
  • Create and maintain event registration in the ROE's online systems, including confirmation emails, attendance tracking, and credit/CPDU documentation.
  • Prepare materials for sessions (agendas, handouts, sign-in sheets, evaluations, name tags, certificates) and ensure needed supplies and equipment are available.
  • Support coordination of presenter contracts, room reservations, catering orders, technology needs, and follow-up communications with participants and presenters.
  • Assist with compiling feedback survey data and basic reports to support program evaluation and continuous improvement.
  • Perform a wide variety of clerical and secretarial duties including word processing, proofreading, copying, scanning, filing, and mail distribution.
  • Answer and route phone calls; respond to routine inquiries from districts, schools, and community partners regarding professional development offerings.
  • Maintain organized electronic and paper filing systems for contracts, invoices, registrations, evaluations, and other program documents.
  • Prepare and format correspondence, memos, spreadsheets, forms, flyers, and reports for the Director of Professional Development.
  • Assist with ordering and monitoring office and event supplies, ensuring cost-effective use of resources.
  • Accurately enter and update data in registration systems, learning management platforms, and other databases used by the Professional Development department.
  • Run standard reports (e.g., attendance, registration counts, evaluation summaries) to support state reporting, grant reporting, and internal decision-making.
  • Assist with processing invoices, purchase orders, check requests, and payment records related to professional development activities in coordination with ROE finance staff.
  • Help track budget lines for specific workshops or grants as directed, noting registration revenue, expenses, and encumbrances.
  • Serve as a primary point of contact for educators, administrators, and community partners seeking information about professional development opportunities.
  • Maintain and update calendars of workshops and events on the ROE website, newsletters, and other communication platforms in collaboration with communications staff.
  • Draft and distribute email reminders, confirmations, and follow-up messages related to events and deadlines.
  • Demonstrate a high level of professionalism, confidentiality, and customer service in all interactions.

Qualifications

  • High school diploma. Preferred- Associate's degree or additional training in office administration, business, or a related field.
  • Minimum of two years of successful experience in an administrative, clerical, or office support role; experience in an educational or public-sector setting preferred.
  • Proficiency with Google Workspace and/or Microsoft Office (Docs/Word, Sheets/Excel, Slides/PowerPoint), email, and basic database or registration systems.
  • Strong organizational skills with the ability to manage multiple tasks, prioritize work, and meet deadlines in a fast-paced environment.
  • Excellent written and verbal communication skills, including the ability to draft and proofread professional correspondence and documents.
  • Demonstrated attention to detail and accuracy in data entry, record keeping, and document preparation.
  • Ability to maintain confidentiality of sensitive information and to exercise discretion and sound judgment.
  • Strong interpersonal skills and the ability to work collaboratively with colleagues, school district personnel, and external partners.
  • Prior experience supporting professional development, events, or training programs in an educational setting.
  • Experience with student information systems, learning management systems, or event registration platforms used by school districts or ROEs.
  • Familiarity with Illinois professional development requirements, ISBE licensure renewal, and ROE responsibilities.

Salary/Benefits

  • Full-time, 12-month position.
  • Salary, benefits, and work year established by the Regional Superintendent.

  • Salary Range: $42,000 to $46,000

  • Performance of this position will be evaluated in accordance with ROE policy and applicable administrative procedures.

Additional Notes

The Administrative Assistant to the Director of Professional Development provides high-level clerical and organizational support to ensure the effective planning, coordination, and implementation of professional learning programs and events offered through the Regional Office of Education. This position supports day-to-day office operations, communication with internal and external stakeholders, and the maintenance of accurate records related to workshops, academies, grants, and professional learning initiatives.
