We are seeking an experienced Administrative Assistant for an in-office role in our Rye Brook, NY office to support our Field Operations and Self-Perform departments.
Key Responsibilities
Support daily administrative activities and processes to ensure timely execution of workload
Coordinates and schedules meetings and takes meeting notes
Processes purchase orders and change orders
Review, process, and distribute RFIs and submittals
Assists in organizing and communicating team member coverage and travel to project sites
Files and maintains documentation and reporting
Works closely with other administrative team members to manage work priorities
Orders office and program supplies as required and ensures items are shipped to project sites in a timely way
Other duties as assigned by leadership
Qualifications
Prior experience working at a General Contractor or Subcontractor is required
Familiarity with construction paperwork and terminology
Strong MS Office skills: Excel, Word, PowerPoint, and Outlook skills required
Able to multitask, prioritize, and manage work on tight deadlines
Excellent written and verbal communication skills
High level of professionalism and confidentiality
Team-player and ability to build relationships across the organization and team
