Executive Administrative Assistant – Core Responsibilities & Task List 1. Executive Support & Calendar Management• Own and optimize South Region President’s (Amir Hafzalla) calendar (multi-time zone, shifting priorities) • Schedule meetings across multiple executives and departments as well as clients• Anticipate conflicts and proactively re-prioritize based on direction from Amir• Prepare weekly briefings (agenda alignment, key objectives, logistic planning) • Coordinate travel logistics (flights, hotels, ground transportation, lunches/dinners) • Manage expense reporting• South Region Leadership expense approval• Expense report management of Carmen Reynolds Consulting, KINT invoicing etc.2. Office Management• Keep office kitchen stocked • Keep inventory and stock of all office supplies • Coordinate with on-site office management regarding any maintenance issues• Ensure timely payment of office contractors (Printers Plus, handyman, etc.)3. Meeting & Event Management• Plan and execute leadership meetings, including: o Regional Town Halls o Executive offsites o Candidate interview days
