Description:

CTG's long-standing Fortune 500 client is seeking an experienced Administrative Assistant/Secretary III to provide high-level administrative and project coordination support to engineering and operations teams. This onsite role is ideal for a highly organized professional who thrives on managing multiple priorities, supporting technical teams, and ensuring projects stay on schedule.

Candidates must be able to commute and work onsite in Canton, NY

Pay Rate: Based on experience

Work Hours: Monday–Friday, 8:00 AM – 5:00 PM

Education: High School Diploma or GED

 

DOD/ITAR Compliant Required – This is an ITAR facility. DOD compliance requires U.S. Citizens for this role.

What You'll Do

  • Support engineering projects by maintaining project budgets, tracking spending, and preparing monthly financial and labor reports.
  • Coordinate daily engineering and plant meetings by scheduling attendees, preparing agendas, consolidating presentations, documenting meeting minutes, and tracking action items.
  • Manage calendars, conference rooms, vendor visits, and departmental communications.
  • Coordinate onboarding activities for employees, contractors, and interns, including access requests and equipment coordination.
  • Process purchasing requests, contractor documentation, and administrative workflows.
  • Maintain engineering metrics, project documentation, SOPs, templates, and audit-ready records.
  • Organize training events, travel arrangements, and team logistics.
  • Manage Microsoft Teams, SharePoint sites, shared mailboxes, and document repositories.
  • Track project deadlines and proactively follow up to ensure deliverables remain on schedule.
  • Provide day-to-day administrative support that allows engineering teams to focus on technical work.

What We're Looking For

  • Strong proficiency with Microsoft Office (Excel, Word, Outlook, and PowerPoint).
  • Experience managing calendars, meetings, reports, and administrative workflows.
  • Excellent organizational skills with the ability to prioritize multiple projects simultaneously.
  • Strong attention to detail and accuracy with documentation and data entry.
  • Outstanding written and verbal communication skills.
  • Ability to work independently while collaborating effectively with engineers, leadership, and cross-functional teams.

Preferred Qualifications

  • Two or more years of Administrative Assistant or Secretary experience.
  • Experience supporting engineering, manufacturing, or operations organizations.
  • Familiarity with SAP, Microsoft Teams, and SharePoint.
  • Experience coordinating purchasing, budgets, reporting, or document control.
  • Ability to anticipate team needs and proactively solve routine administrative challenges.
