Reynolds is one of the largest community colleges in Virginia and serves Virginia's capital city and five nearby counties. Annually, our four campus sites serve approximately 13,000 credit students and provide training for 7,400 students through the Community College Workforce Alliance. The Administrative Assistant Senior to the Vice President of Student Affairs provides strategic, administrative, and operational support to the Vice President while serving as a key contributor to the effective operation of the Division of Student Affairs. As a trusted partner and central liaison across the division and the College, this position coordinates complex administrative functions, including executive calendar management, meeting and event coordination, budget oversight, divisional communications, front office operations, and the tracking of strategic initiatives and special projects.

Through exemplary administrative leadership, operational coordination, and executive support, the Administrative Assistant Senior advances the mission and strategic priorities of the Division of Student Affairs by ensuring the efficient, effective, and professional operation of the Office of the Vice President. Operating with a high degree of professionalism, discretion, sound judgment, and autonomy, the position promotes organizational effectiveness by managing complex administrative processes, facilitating cross-functional collaboration, supporting strategic planning and institutional initiatives, and ensuring timely communication and follow-through on divisional priorities. By maintaining the highest standards of customer service, confidentiality, operational excellence, and continuous improvement, the Administrative Assistant Senior helps foster a responsive, collaborative, and student-centered division committed to equitable access, student engagement, holistic student support, and student success while advancing the mission of Reynolds Community College.

Special Assignments

May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.

KSA's/Required Qualifications

  • Extensive knowledge of administrative processes and office support functions, with a strong focus on efficiency and accuracy.
  • Exceptional communication skills, both oral and written, with proven professional and interpersonal abilities in face-to-face interactions, phone communication, and email correspondence.
  • A customer-centric and solution-driven mindset, consistently seeking to enhance the experience for students, staff, and external stakeholders.
  • Demonstrated ability to work independently on assigned tasks, demonstrating self-motivation and initiative, while also thriving in team environments.
  • Capable of building and maintaining collaborative relationships with internal and external stakeholders.
  • Highly organized with the ability to plan and coordinate complex activities, effectively troubleshoot issues, and manage competing priorities.
  • Demonstrated proficiency in independent decision-making and organizational skills, essential for managing the day-to-day operations of the office.
  • Advanced skills in utilizing personal computers and up-to-date computing tools, particularly Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft Teams and Zoom.
  • Proven ability to create and maintain spreadsheets, databases, and webpages.
  • Quick learner with the ability to grasp, execute, and adapt to new concepts, processes, and electronic systems with ease.
  • Proven ability to excel in a fast-paced environment, managing multiple tasks simultaneously while maintaining a high level of accuracy and attention to detail.

Additional Considerations

  • College coursework preferred.
  • Extensive experience in fiscal management of complex budgets and working with Excel.
  • Extensive administrative experience in an academic or similar environment preparing executive level correspondence, summary reports and presentations.
  • Experience successfully working with multi-generational and diverse populations.
  • Hands-on knowledge and use of a student information system (i.e., PeopleSoft, Banner or Colleague)
  • Experience in project planning.

Travel for college events and between campuses as needed.
