JOB SUMMARY

Administrative Assistant

Provides comprehensive administrative, technical, and clerical support for the Code Enforcement Division. Processes public nuisance and dangerous building complaints, coordinates abatement actions, prepares reports, and assists with records requests and financial tracking for enforcement activities.

ESSENTIAL JOB FUNCTIONS
  • Complaint Intake and Processing: Receive and log public nuisance, solid waste and dangerous building complaints via phone, email, and code violations and enforcment software.
  • Case Management: Track, update, and monitor code enforcement cases through the full lifecycle of investigation and resolution.
  • Documentation and Notices: Prepare and send official notices, liens, certifications, and satisfaction documents for recording.
  • Contractor Coordination: Communicate with contractors for abatement assignments and verify project completion.
  • Records Management: Maintain case files, scanned records, and Excel tracking sheets for all enforcement activities.
  • Public Records Requests: Research, copy, and deliver documents in response to Sunshine Law and records requests.
  • Financial Support: Invoice abatement costs and submit to the Collector's Office for property fines; reconcile payments.
  • Reporting: Prepare monthly KPI reports for building permits, inspections, and violations.
  • Customer Service: Provide information to citizens, departments, and contractors regarding code enforcement processes.
  • Administrative Support: Assist the Deputy Director with correspondence, scheduling, and documentation tasks.
  • Continuous Improvement: Evaluate process efficiency and suggest improvements in documentation and reporting.
  • The individual in this role is expected to contribute to the team's efforts by completing other related tasks, as may be assigned.

EDUCATION AND EXPERIENCE - The following are the minimum education and experience required for the position. An equivalent combination of education, training and experience may be considered.

  • HS diploma or GED
Experience
  • 4-5 years previous relevant work experience is required.

  • Computer, Microsoft 365 (Outlook, Word, Excel, PowerPoint), scanner, email, Adobe, multi-line phone, cash register, receipt printer, permitting/inspection software.
WORK ENVIRONMENT or atmospheric conditions commonly associated with the performance of the functions of this job.
  • Office setting with moderate public interaction; frequent data entry and coordination with inspectors and contractors; may involve handling of complaint files and scanned documents; typical weekday schedule in a collaborative office space.
