Client Overview:
Our client is one of the oldest diocesan universities in the United States. Located in New Jersey, they offer a wide range of undergraduate and graduate programs across fields such as business, law, diplomacy, health sciences, and the humanities. They are also recognized for their programs, sports, and vibrant campus culture. They are currently looking to add an Administrative Assistant to their team.

Salary/Hourly Rate:
$25/hr - $30/hr DOE

Position Overview:
Our client is seeking an Administrative Assistant to support the University Advancement department. This position requires a polished, personable professional who can interact with high-net-worth individuals, manage heavy calendaring and expenses, and occasionally attend events with advance notice. Responsibilities include executive office management, high-level communications, meeting and event coordination, travel planning, and budget support. The Administrative Assistant will act as a true partner to the Advancement department.

Responsibilities of the Administrative Assistant:
  • Manage a high volume of telephone calls, emails, and Teams messages.
  • Manage calendars, establish priorities, and schedule appointments and meetings.
  • Maintain a filing system.
  • Prepares documents and coordinates all internal and high-level external meetings.
  • Write, edit, and process written communications.
Required Experience/Skills for the Administrative Assistant:
  • Proven experience supporting senior executives, including managing high-volume calendars and coordinating complex travel arrangements.
  • Proficient in relational database systems. Experience with Raiser's Edge.
  • Advanced skills in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Exceptional written and verbal communication skills.
Preferred Experience/Skills for the Administrative Assistant:
  • Highly self-directed, with strong initiative, sound judgment, and the ability to work independently.
  • Demonstrated ability to handle confidential information with the utmost professionalism and discretion.
  • Prior experience in a nonprofit setting or education is nice to have, but not required.
Education Requirements:
  • Bachelor's degree is required.
