SUMMARY: The Administrative Assistant provides administrative support to both executive leaders as well coordination support of the executive leadership team. This position will support managers and team members through a variety of tasks related to organization and communication.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to, the following:

  • Provide comprehensive administrative support to the Executive Office, including calendar management, meeting coordination, and logistical planning support for executive leaders.
  • Manage and maintain documentation, including organizing records, tracking action items, and producing data analyses and reports to support executive decision-making.
  • Prepare, compile, and distribute a variety of administrative reports, presentations, and correspondence, ensuring accuracy and timely delivery.
  • Handle sensitive, confidential, routine, and non-routine information with discretion; communicate and reinforce organizational policies and procedures as needed.
  • Collaborate proactively and independently on both recurring operational tasks and special projects, demonstrating flexibility and sound judgment to meet changing priorities.
  • Review, prioritize, and respond to incoming correspondence, ensuring timely and professional communication.
  • Answer, screen, and direct incoming phone calls with professionalism, taking accurate messages and escalating urgent matters appropriately.
  • Perform invoice audits and process payments while ensuring accuracy and proper documentation
  • Maintain and organize supply inventory, ensuring accurate stock levels and efficient quantity management
  • Maintain accounting records, such as bank account reconciliations and credit card documentation

SUPERVISORY RESPONSIBILITIES

This position will not have supervisory responsibility.

EDUCATION and/or EXPERIENCE

  • Required
    • High school diploma
    • 1 year of administrative or clerical experience
    • Proficiency in Microsoft Office Suite
    • Notary Public
  • Preferred
    • Administrative or assistant experience
