Titan America has an immediate opening for an Administrative Assistant at its facility in Sterling, VA. This position will provide high levels of customer service and cross functional support to the NOVA organization and will report to the General Manager at Sterling, VA.

Responsibilities:

Responsibilities:

  • Provide full cycle administrative support for business initiatives, including coordination of projects, and training activities
  • Compile, scan, and validate delivery tickets, manage the parked report, investigate back charges, maintain accounting records
  • Receive goods and update systems, verify product/service received against purchase order, reconcile discrepancies
  • Provide assistance with inventory and reconciling variances
  • Serve as a resource to answer employee or customer questions, providing customer service, problem resolution, and assistance
  • Approve, code, and submit departmental invoices for payment
  • Produce regular reports and analysis to inform management on major KPI’s
  • Assist with SAP, QC, and other system data entry
  • Support Dispatch with order taking and accurate order entry into the dispatch system
  • Perform clerical duties including correspondence, mail sorting, maintaining filing system to ensure an audit ready stance
  • Prepare and assist managers with presentation materials, coordinate meetings/travel to include reservations and arrangements
  • Provide excellent customer service and interact effectively with all levels of the organization
  • Attend meetings to record, transcribe, and distribute minutes

  • Excellent planning, organizational abilities, strong attention to detail, able to multitask and prioritize competing requirements
  • Ability to work with limited supervision to complete work assignments, under tight deadlines
  • Advanced computer proficiency and knowledge of MS Office including Word, Excel, PowerPoint and Outlook
  • Ability to build effective spreadsheets and analyze data through visual presentations
  • Bachelor’s degree and one to two years’ experience or any equivalent combination of education and experience
