Description

The Administrative Assistant provides comprehensive administrative, clerical, and operational support to the Office of Student Success & Enrollment Management (SSEM). Reporting to the Executive Assistant and working closely with the Vice President for Student Success & Enrollment Management, this position serves as a key support resource for departmental operations, student success initiatives, enrollment management activities, and special projects.

The Administrative Assistant is responsible for ensuring efficient office operations through scheduling support, records management, customer service, event coordination, correspondence management, and administrative assistance for divisional programs and initiatives. The position requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced higher education environment.

Examples of Duties

  • Provide comprehensive administrative and operational support to the Office of Student Success & Enrollment Management (SSEM) and assist the Executive Assistant with daily office operations.
  • Manage office communications, including answering phones, greeting visitors, responding to inquiries, and directing stakeholders to appropriate resources.
  • Prepare, process, maintain, and distribute correspondence, reports, agendas, meeting materials, records, and other official documents.
  • Coordinate meetings, special projects, and divisional activities, including scheduling, logistics, minute-taking, and follow-up actions.
  • Maintain departmental files, databases, records, and confidential information in accordance with university policies and applicable regulations.
  • Assist with procurement activities, office supply management, travel arrangements, reimbursements, invoices, and other administrative transactions.
  • Support student success and enrollment management initiatives through administrative assistance, data collection, record maintenance, and reporting related to retention, advising, accessibility services, financial aid, and student engagement programs.
  • Serve as a resource for students, parents, faculty, staff, alumni, and external constituents regarding divisional programs, services, and initiatives.
  • Assist with the planning and execution of orientations, recruitment activities, workshops, committee meetings, special events, and other divisional programs.
  • Support departmental reporting, assessment activities, accreditation efforts, and strategic initiatives.
  • Draft, proofread, and distribute communications, announcements, and other materials on behalf of the division.
  • Perform other duties and special projects as assigned.

Typical Qualifications

  • High school diploma or GED required; an associate or bachelor's degree preferred.
  • Minimum of two (2) years of experience providing administrative support to executive-level administrators, senior leadership, or high-level offices preferred.
  • Strong organizational, communication, customer service, and problem-solving skills, with the ability to manage multiple priorities, meet deadlines, and maintain confidentiality.
  • Demonstrated proficiency in Microsoft Office Suite applications (Word, Excel, PowerPoint, Outlook, and Teams) and standard office technologies.

Supplemental Information
