Job Summary
The City of Suffolk is seeking a dependable and detail-oriented Administrative Assistant to provide administrative and clerical support in a professional office environment. The ideal candidate will be organized, personable, and capable of handling multiple administrative tasks while providing excellent customer service to visitors, staff, and vendors.
Key Responsibilities
- Greet visitors and provide professional customer service.
- Answer and direct incoming calls using a multi-line phone system.
- Respond to emails and other correspondence in a timely manner.
- Perform data entry and maintain accurate records.
- File and organize documents, both electronically and in paper format.
- Process incoming and outgoing mail.
- Update and maintain vendor files and contact information.
- Assist with general administrative and office support duties.
- Schedule appointments and maintain office calendars as needed.
- Perform other clerical and administrative tasks as assigned.
Required:
- Previous experience in an administrative assistant, receptionist, or office support role.
- Proficiency in Microsoft Office Suite, including:
- Microsoft Word
- Microsoft Excel
- Experience with data entry and general administrative support.
- Experience using multi-line phone systems.
- Strong organizational and time-management skills.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Basic computer skills and the ability to learn new software programs.
