Position Title: Administrative Assistant to Accountability/ Receptionist

Primary Focus: Administrative Assistant to Accountability

Employment Term: 12 Months

Compensation: Grade 61 scale: $2,868.46- $4,639.47 monthly

Reports To: Accountability Director & Director of Human Resources

Position Summary

The district is seeking a highly organized, detail-oriented professional for a combined 12-month position. The primary focus of this role is serving as the Administrative Assistant to Accountability, ensuring the integrity, management, and compliance of the state testing program. Additionally, this vital role will provide critical front-line support as the District Receptionist, fostering positive community relations and ensuring seamless office operations.

Key Responsibilities

Accountability & Data Management (Primary Focus)

  • State Testing & Data Entry: Provide PSU data entry, management, and reporting as required by the state testing program; use NCDPI files to verify test results.
  • Reporting & Audits: Provide data for local reports, produce Historic Audits, and create Access applications for data analysis.
  • Logistics & Inventory: Manage the ordering, receiving, and returning of all testing materials, and maintain testing equipment inventory.
  • System Integration: Upload online test results, verify that all state test scores are uploaded to Infinite Campus, and correct errors/warnings in the NCDPI Data Collection Status Viewer.
  • Compliance: Coordinate reporting of each school's status/compliance for state accountability results and manage historical student records.
  • Financial Support: Maintain hard and digital files for federal, local, and state funds; track budgets, process purchase orders, and manage time/travel forms for payroll/accounts payable.

Receptionist Support

  • Customer Service & Greeting: Serve as the primary, professional first point of contact for the district; greet visitors, follow security guidelines for building access, and keep the lobby organized.
  • Communications: Answer multi-line telephones, route calls appropriately, and manage incoming/outgoing mail and courier distribution.
  • Office Operations: Maintain core office equipment (copier toner, paper, mailroom forms), run assigned office errands, and assist staff with administrative tasks (folding letters, stuffing envelopes, typing).

Knowledge, Skills, and Abilities

  • Technical Proficiency: Strong training or experience in Microsoft Office Products (specifically Access and Excel for data management) and Google platforms.
  • Data & Ethics: Knowledge of data management operations and procedural requirements applicable to state testing programs, including the Testing Code of Ethics.
  • Communication: Exceptional oral and written communication skills; ability to use correct grammar, spelling, and mechanics.
  • Professionalism: Ability to relate to the public, school staff, and external departments in a pleasant, supportive, and professional manner.
  • Problem-Solving: Ability to independently troubleshoot situations and route inquiries to the appropriate department.

Training and Experience

  • Education: High School Diploma or equivalent required.
  • An Associate Degree or equivalent coursework is a plus.
  • Experience: 2 to 5 years of experience in an administrative or professional office setting, or an equivalent combination of education and work experience.
