The Administrative Assistant will provide organizational, administrative and project support for ICC Community Relations. Reporting directly to the Director of Marketing and Director of Sports Information, this position plays a critical role in ensuring the smooth operation of daily workflows, managing project intake, assisting with communications and supporting creative staff in the execution of marketing, design, digital media and production initiatives. The ideal candidate is highly organized, detail-oriented and capable of managing multiple projects in a fast-paced creative environment. This position operates in a collaborative, fast-paced creative office environment and regularly interacts with designers, photographers, videographers, marketers and students.

Key Responsibilities:

  • Complete and process business office documentation (purchase requisitions, billing, etc.)

  • Provide administrative support including scheduling meetings, preparing documents and coordinating office communications.

  • Manage incoming project requests and assign work orders to appropriate team members.

  • Ensure project submissions contain all necessary information before entering production workflows.

  • Maintain departmental files, records and digital asset organization.

  • Manage incoming/outgoing mail.

  • Coordinate office supplies and equipment needs.

  • Assist with proofreading of marketing materials, publications and communications.

  • Manage design and ordering of name tags, business cards, etc.

  • Assist with planning and coordinating of special events (tailgates, institutional functions, etc.)

  • Assist with managing work study students.

  • Other duties as assigned.
