The School District of Fort Atkinson is seeking an organized, detail-oriented, and energetic professional to serve as the Administrative Assistant to the Director of Special Education. This key position provides comprehensive administrative and operational support to the Special Education Department, ensuring efficient daily operations while supporting students, staff, families, and school administrators.

The Administrative Assistant serves as a central point of coordination for department communications, scheduling, records management, compliance activities, and operational processes. This role maintains confidential student and department records, supports state and district reporting requirements, assists with financial and Medicaid billing processes, and helps coordinate Special Education programs and services. Success in this position requires exceptional organizational skills, strong attention to detail, excellent customer service, and the ability to manage multiple priorities in a fast-paced environment.

Essential Responsibilities

  • Provide administrative support to the Director of Special Education and department staff.
  • Manage department communications, correspondence, calendars, meetings, and appointments.
  • Serve as a liaison among schools, families, staff, community agencies, and outside organizations.
  • Maintain confidential student and department records in accordance with district, state, and federal requirements.
  • Process, scan, archive, and transfer student records while maintaining data within district and state reporting systems.
  • Generate reports, assist with data collection and verification, and monitor timelines for required submissions.
  • Coordinate transportation requests and documentation for students receiving Special Education services.
  • Support summer school, early childhood, and other Special Education program activities.
  • Assist with staff onboarding, interview scheduling, training records, and licensure tracking.
  • Maintain department website content and informational materials.
  • Support department budgeting, financial processes, Medicaid billing, audits, and compliance documentation.
  • Perform other duties as assigned.
